Role overview

The Programs Administrator will be instrumental in supporting the capacity of the CFCC Programs Team, who provide direct support to people living with cystic fibrosis and their families. This role will liaise with healthcare professionals and people living with cystic fibrosis to organise referrals into CFCC programs, facilitating access to essential physiotherapy equipment and coordinating with suppliers.

Key Responsibilities

Reporting to the Head of Programs and Research and working as a member of a small, dedicated team, the Programs Administrator will provide administrative support through the following duties:

  • Coordinate incoming referrals to CFCC programs, working collaboratively with Case Managers to assess applications for support and facilitating enrolment into relevant programs.
  • Assist with the delivery of CFCC programs and support services, processing membership requests, processing applications for support, assisting with support activities and responding to supporter queries.
  • Liaise with physiotherapists from hospital clinics to order essential equipment for CFCC community members, providing high level customer service and coordinating with the relevant supplier and the person living with cystic fibrosis, to process orders and deal with warranty claims.
  • General administration, including the ongoing coordination of support inbox emails and minute-taking for team meetings.
  • Manage and deal with client enquiries in a timely and efficient way, including via phone and email.
  • Maintain data entry requirements by following CFCC processes and guidelines around privacy, security, and data tracking.
  • Coordinate program applications, inputting details into the client management record, submitting payment details, and communicating with the CFCC member regarding the progress of their application.

Any other duties as required under the direction of the Head of Programs and Research.

Skills & Experience

Required:

  • A high degree of organisational, time management and communications skills.
  • Ability to work autonomously and in a team.
  • Ability to communicate in a positive and effective manner with clients, healthcare professionals, members, and supporters of CFCC, volunteers, colleagues, and representatives of other organisations.
  • Proficient skills in the use of Microsoft 365.
  • Effective personal organisational skills and attention to detail.
  • Willingness and ability to comply with the policies of the organisation, with privacy, confidentiality, health and safety policies, and working with children.

Preferred:

  • Experience or knowledge of the challenges faced by people cystic fibrosis or other terminal chronic disease, or invisible illness is an advantage.
  • Experience with managing databases, such as Salesforce and SharePoint, is highly desirable.

Qualifications & Training:

  • Tertiary qualification in administration or healthcare.

Requirements

  • All positions must undergo probity checks, including criminal record checks and working with children checks as outlined in their Contract of Employment.
  • Must be able to drive, provide, and maintain a valid Australian Drivers’ Licence.
