About the Role

The primary responsibility of this role is to greet and register clients attending the Derbarl Yerrigan Health Service, answer telephones and direct all incoming calls, liaise with medical, clinical and other staff regarding attendance of clients to the clinic and visitors to administration. The receptionist will need to Input client details on the computerized Health Booking and Records System.

Responsibilities:

  • Receive and register clients attending the Derbarl Yerrigan Health Service clinic and input and maintain client details on the computerised Communicare System.
  • Ensure patient information is current and accurate including patient’s address, contact number, Medicare details etc.
  • Liaise with medical, clinical and other staff regarding attendance of clients to the clinic.
  • Generate and process client attendance documents and identification labels from printers and ensure all relevant documents are included.
  • Operate and maintain label printer.
  • Liaise with Medicare or online for patient Medicare/concession cards.
  • Lock and unlock the clinic including operation of security system (as required for the site).
  • Record incoming mail and incoming/outgoing faxes.
  • Action LOGICQC tasks as requested.
  • Prepare all stationary including orders for PO and ordering (as required for the site).
  • Collect mail on a daily basis (as required per site).
  • Scan and record all patient records including pathology, reports etc.
  • Scan PIP forms and record it in a spreadsheet.
  • Send off all postage (as required for the site).
  • Ensure reception and waiting room is organized and tidy to DYHS standards (as required).
  • Attend to incoming and outgoing calls as required.
  • Comply with hygiene and infection control standards of DYHS.
  • Make appointments for clients in the clinic and liaise with Community Engagement Coordinator, Welfare, RLO, IOW’s and ALO’s for patient transport.
  • Maintain confidentiality of clients at all times.
  • Adhere to Accreditation requirements.
  • Perform other duties related to this position as required by the Manager and /or the Supervisor.
  • Train new relief reception staff.
  • Comply with all policies and relevant procedures of DYHS.
  • Participate in performance review and ongoing skill development in relation to job position.

SELECTION CRITERIA

Essential

  • Aboriginal and or Torres Strait Islander pursuant to section 50D of the Equal Opportunity Act.
  • An understanding of basic medical terminology.
  • Experience in Medical Receptionist or similar role.
  • Strong interpersonal and communication skills; written and verbal.
  • The ability to maintain professionalism and confidentiality at all times.
  • Demonstrated high level of accuracy and attention to detail.
  • Ability to manage client enquiries/issues.
  • Demonstrated ability to work independently, show initiative and work productively within a team environment.
  • Working knowledge of MS Office (Outlook, Word & Excel).

Desirable

  • Formal qualifications in Medical Reception e.g. Completion of an AMA Medical Reception Course or similar or Certificate III in Business, Health or Administration.
  • Knowledge of Occupational Health & Safety, Industrial Relations and Equal Employment Opportunity Legislation.
  • Knowledge of MBS/Medicare.
  • 2 years of work experience in Medical Reception.

  • Successful Working with Children Check
  • Evidence of a current WA Driver's license
