The Refugee and Immigration Legal Service (RAILS) is a community legal centre based in South Brisbane. For over 40 years, RAILS has provided free legal assistance and education in immigration and refugee law to people in Queensland.

RAILS assists some of the most vulnerable people in our community, predominantly refugees, asylum seekers and people who have experienced family violence. RAILS strives to empower them and help them find and remain in safety.

ABOUT THE POSITION

  • Job Title: Administration and Intake Officer
  • Hours: Full-time preferred, 12 to 18-month contract with the possibility of extension
  • Salary: Social, Community, Home Care and Disability Services Industry Award level 2 to 3 - from $64,000 to $75,000 (or part time equivalent) plus additional 11% superannuation
  • Responsible to: Operations Manager
  • Work arrangements: in person from RAILS' office in South Brisbane. WFH for part of the working week can be considered.

Overview

The Administration and Intake officer role at RAILS is a 4 or 5 days per week position within a fast-paced team.

The role requires an enthusiastic, detail-orientated person who enjoys supporting the successful delivery of various programs to migrants, refugees and asylum seekers and who is able to effectively communicate with people who are Culturally and Linguistically Diverse and people who have survived trauma and persecution.

This role is of fundamental importance to the delivery of excellent legal services by RAILS and contributes to positively changing client’s lives.

Primary responsibilities

The items listed are indicative and not exhaustive.

Administrative and Business systems, including:

  • Supporting client intake, including the provision of clear and concise information to callers and walk ins and the facilitation of appropriate referrals
  • Conducting conflict checks and performing data entry within RAILS’ practice management tool, CLASS
  • Administrative opening and closing of case files
  • Assisting with the training of volunteers supporting the admin team

Data management support including:

  • Regular review of the processes developed to support client intake
  • Assisting with the audit of RAILS’ records to ensure RAILS compliance with risk management and data collection obligations
  • Working closely with the Operations Manager and the Senior Intake Officer to ensure timely contribution to any improvements to digitalisation processes

SELECTION CRITERIA

Essential skills / experience:

  1. Demonstrated experience in working with the public efficiently, ethically and professionally
  2. Demonstrated experience working in a fast-paced environment and effectively managing competing priorities
  3. Demonstrated experience in data entry and file maintenance
  4. Excellent communication and interpersonal skills, including the ability to work as an effective team member and the provision of high-level customer service.
  5. Ability to effectively communicate with culturally and linguistically diverse people and with disadvantaged and vulnerable people
  6. Ability to work efficiently as part of a team, to follow directions and to work independently
  7. Strong computer skills, including sound knowledge of MS Office 365 and experience working with data bases.
  8. Commitment to social justice and understanding of community legal centres, including RAILS philosophy.

Desirable skills / experience:

  1. Understanding of and experience using CLASS
  2. Ability to exercise self-care and identify strategies to cope in situations of stress and pressure

REMUNERATION AND BENEFITS

  • Remuneration package from $64,000 to $75,000 (or part time equivalent) plus additional 11% superannuation
