We are seeking an experienced and highly organised Office Manager/ Administrative Officer to join our team. You will play a vital role in maintaining the smooth day-to-day operations of our office while contributing to a collaborative and positive workplace culture. We are a national, full services digital creative agency that supports our clients from strategy, content development including videography and photography, graphic design, animation, illustrations, community engagement and events. 

Our head office is based on Gadigal Country in Sydney, with team members also working from Canberra, Brisbane, Cowra and the Central Coast. We work with a range of clients that share our values across government, non-government, non-profit and for purpose, private/philanthropic industries. 

About the role

You will play a key role in providing comprehensive administrative support to our team across the business. 

We are looking for a highly motivated administrative professional that likes to be busy and work independently as part of a small but agile fast paced creative team. The role is diverse in its nature, with no one day expected to be the same. We strive to go above and beyond to meet our client’s needs, and importantly, make a measurable difference through effective and engaging communications activities. 

Some of the things you will be doing in this role include:

  • Oversee day-to-day office operations, ensure an organised, welcoming and efficient workplace for our team, clients, and visitors.
  • Providing Executive Administrative Support, by assisting our Directors with business development proposals, presentations, stakeholder correspondence, and general administrative tasks.
  • Project Management Support through the coordination of team meetings, tracking deadlines, and help ensuring projects stay on schedule by providing administrative support for project management tasks across projects.
  • HR & Policy Management: Maintain workplace policies and procedures, provide support with general HR matters, and assist with onboarding and record-keeping.
  • Office & IT Coordination: Coordinate office and IT equipment needs, ensuring all systems are operational and that out team have the resources they need to work efficiently.
  • Travel Arrangements: Organise travel logistics for the team, ensuring smooth and efficient travel planning and bookings.
  • Event & Stakeholder Support: Assist in planning and delivering events, while providing stakeholder engagement support as needed.
  • Process Improvement: Streamline administrative processes and implement best practices to improve office efficiency and productivity.
  • Problem-Solving: Anticipate and address administrative or operational issues, ensuring the office operates smoothly and without interruption.
  • Ad Hoc Administrative Support: Provide additional support where needed, ensuring the seamless functioning of the office.
  • Team Culture & Well-being: Support creating a positive workplace culture by organising team-building activities, managing office decor, and promoting wellness initiatives.
  • Office Communications: Act as the central point of communication for office-related announcements, policies, and updates, ensuring effective information flow within the team.

Requirements

  • First Nations applicants preferred.
  • At least 3 years’ experience in a similar position (Office Manager, Administrative Officer, or related role).
  • Strong technical proficiency including experience with office management software and tools, particularly MS Office Suite and Asana.
  • Organisational & Project Management Skills including excellent organisational, multitasking, and project management skills with a strong ability to prioritize and manage competing deadlines.
  • Ability to work autonomously while contributing effectively within a collaborative team environment.
  • Strong verbal, written and visual communication skills, with a professional, friendly, and can do attitude.

Salary for this role will be commensurate with experience.
