Located in Parkville, VIC the National Business Services Administrator is responsible for providing national administrative assistance to the Business Services leadership team to ensure a national and holistic approach is maintained for all Business Services administrative functions. This role will also be responsible for managing Business Services processes in accordance with approved procedures as well as assisting with special projects in conjunction with the Business Services leadership team and provides ongoing support and guidance to other Administrative Officers.

Reporting directly to the General Manager Business Services, you will also be responsible for:

  • Providing back up support for the Business Services Administrator on the Reception function including meet and greet internal and external visitors, managing phone enquiries (both internal & external)
  • Monthly reporting
  • Coordination and administration support for the fleet portfolio providing monthly analysis and data reconciliation for all vehicles in the fleet, including lease renewals, fuel and toll charges and usage
  • Maintaining information databases including but not limited to fleet management, premises and maintenance operations
  • Overseeing the National Administration electronic mailbox
  • Leading the provision of travel with the travel management company
  • Processing invoices as required
  • Monitor and maintain the Business Services Intranet site
  • Liaising with the People and Culture Team to ensure Onboarding and Offboarding processes are being managed accurately and timely
  • Provide administrative support to the Business Services leadership team.

To be successful in this role you will have excellent communication and presentation skills, be a true team player and meet the key selection criteria outlined below.

Key Selection Criteria:

  • A minimum of 4 years in an office environment, preferably within the non for profit or health sector
  • A minimum of 3 years coordinating the provision of fleet of pool vehicles
  • Demonstrated skills and experience in a range of administrative activities supporting senior staff on a daily basis
  • Demonstrated intermediate or above proficiency and experience with Microsoft office applications including Word Excel, PowerPoint and Outlook and other web-based software
  • A sound knowledge of travel bookings and working in cohesion with a travel management company using travel management software
  • Exceptional organisation skills with the ability to be flexible
  • Ability to manage multiple priorities and competing deadlines
  • High level of interpersonal, communication skills including the ability to establish and communicate effectively with a diverse range of people

Qualifications:

  • Certificate III or IV in Business Administration or demonstrated equivalent experience
  • Experience in fleet management / support, facilities and/or property management experience will be viewed very favourably
