The Opportunity

Are you someone who aims to provide efficient and effective administrative support? Are you interested in playing a pivotal role in the delivery of daily operations? Then this role is for you! Abt Associates in Canberra is searching for a part-time Office Coordinator to join their close-knit team.

Reporting to our People & Culture Lead, you will support the following areas:

  • Oversee the day-to-day activities of the office as the main point of contact
  • Ensure office efficiency by maintaining the appearance of common areas, implementing administration policies and procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment
  • Provide direct administrative support as needed, including scheduling appointments, meetings, and events; booking transport; establishing and maintaining filing and archiving systems; mailing and shipping packages; and updating databases and email distribution lists
  • Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain, and manage vendors and onsite car parking, and coordinate food delivery and social events as needed
  • Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations and floor plan maps) as required
  • Support the establishment of new local offices and/or related refurbishment and fit out activities
  • Support the local implementation of corporate HR, IT, finance and safeguarding initiatives, systems, and purchases, including reporting, training, and onboarding activities
  • Support office workplace health and safety activities e.g.: audits and corrective actions, COVIDSafe initiatives, first aid kit supplier and emergency evacuations
  • Liaise with building management regarding general office and building maintenance issues
  • Other reasonable duties as directed

About You

To be successful, the ideal candidate will share our values, be approachable, professional, and self-motivated, and possess the following skills and experience:

  • 2+ years of office administration experience
  • Strong organisation, time-management, communication, and people skills; flexibility; and multitasking ability
  • Proven ability to prioritise and respond to a high workload in a fast-paced environment
  • Advanced computer skills and experience using online systems
  • Proficiency using Microsoft Office products, with aptitude to learn new software and systems
  • Proven ability to act with discretion and to manage confidential information
