The Position

Reporting to the General Manager, Research and Partnerships, this position supports the College’s policy and advocacy activities by providing secretariat support for Council of Advocacy Practice and Partnerships (CAPP) entities and other related office administration. This position is also a point of contact and liaison across the College for enquiries relating to Policy and Advocacy.

This is a 0.8FTE position which involves compiling, preparing and distributing meeting agendas and supporting papers, taking and drafting of minutes and following up action items. This role also acts as the first point of contact for the Chair and other committee members. In addition the Committee Administrator also provides general administrative support to the Department of Policy, Research and Partnerships.

To be successful in this role you will require:

  • Demonstrated experience in providing high quality secretariat services to committees including agendas, minute taking as well as writing and preparation of meeting action lists and other documentation.
  • Excellent time management, planning and organisational skills to prioritise workloads, meet deadlines and adapt to changing demands.
  • Excellent administrative skills with exceptional level of accuracy and attention to detail.
  • High level of proficiency in Microsoft Office programs and other relevant computer applications.
  • Highly developed written communication skills particularly the ability to record meeting summaries and associated action points accurately and efficiently and prepare written reports and correspondence.
  • Excellent interpersonal skills with an ability to communicate effectively with a wide range of professionals including management and administrative employees, entity members, senior medical specialists and trainees and external stakeholders.
  • Demonstrated capacity to work as a collaborative member of a team in a busy and dynamic work environment, combined with the ability to work unsupervised on allocated tasks in accordance with team objectives, timelines and priorities.
