Action on Disability within Ethnic Communities Inc.

ROLE:

  • The role of the Administration Officer Preston (Administration Officer) is to provide administrative support to the main ADEC office at Preston.
  • The Administration Officer is not only central to the effective and efficient operation of ADEC as an organisation but also is the public face of ADEC and will accordingly have a significant influence on how clients and visitors perceive ADEC as an organisation.

DUTIES AND RESPONSIBILITIES:

The Administration Officer will have key responsibilities in the areas of reception and general administrative support, and will also act as PA to the Executive Director (ED) when required.

Reception:

  • Reception duties, including providing clients and service providers with information regarding the services ADEC provides.
  • Document minutes of Staff meetings.
  • Ensure that all staff receive information (mail, emails, and telephone calls) that they require to perform their tasks efficiently and effectively. General Administrative Support Maintain and reconcile a petty cash account.

Organise:

  • Maintenance and minor works for the premises in consultation with the Administration Coordinator.
  • Catering for meetings.
  • The timely provision of stationery and office supplies (including staff amenities and other administrative consumables).
  • Travel and accommodation.
  • Coordinate bus, car and room bookings.
  • Assist in the organisation of the AGM.
  • Supervise Administrative Assistants (volunteers) in their duties.

PA to the ED:

  • Provide administrative support to the ED as required.
  • Document minutes of Management meetings as required.
  • Maintain the ED’s diary.
  • Other duties as required by the ED and the Administration Manager.

KEY PERFORMANCE INDICATORS:

The Admin Officer’s performance will be measured against the following indicators:

  • Quality of ‘front of house’ presentation.
  • Quality of support to ADEC staff and clients.
  • Meeting the timelines of duties and quality of product as required.

KEY SELECTION CRITERIA:

  • Essential At least two years’ experience in a similar role.
  • Understanding and commitment to the objectives and values of ADEC, and the capacity to represent ADEC views as required.
  • Well-developed organisational and administration skills, including strong attention to detail and the ability to prioritise and control own workload and complete tasks by due dates.
  • An ability to interact proactively with management and staff at all levels of the organisation in the resolution of administrative support issues.
  • Well-developed computer skills, including MS Office and database experience.
  • Ability to work within guidelines and procedures.
  • Ability to communicate with a variety of people from different cultures.
  • Demonstrated knowledge of standard office systems and procedures.

Desirable:

  • Previous experience of working in the disability sector, and /or supporting people who live with disability.
  • Hold a valid and current licence to drive a motor vehicle, issued by the appropriate authority in the jurisdiction in which the holder will drive, and appropriate to the type of vehicle to be driven.

Employment Terms and Conditions:

  • AWARD AND CLASSIFICATION All ADEC employees are employed under the terms, conditions and entitlements of the Modern Award – Social, Community, Home Care and Disability Services Industry Award 2010 (the Award); and the National Employment Standards (NES).
  • The classification for this position is Level 3.
