Working across the three streams of the Foundation (fondly named our Educate, Enlist and Energise pillars), you are the kind of person who anticipates problems even before anyone knows they exist. You have a strong drive to complete tasks and prioritise the most important things.

The Atlassian Foundation is looking for an Administrative Assistant to support the Foundation leadership team. In this role you’ll provide proactive administrative support to four individuals - Head of Foundation (HoF) and three Directors - in Australia and the USA with internal/external commitments. You’ll do your best work, to free them up to do theirs.

In this role, you'll get to:

  • Serve as HoF and each Director’s main point of contact to those outside of the organisation
  • Take initiative to bring things "from the back burner to the front burner" for leadership
  • Manage each Foundation leader’s inbox, prioritising the most important emails and actions
  • Coordinate scheduling (and oftentimes re-scheduling) of external/internal meetings and events with an understanding of team priorities, proactively managing sophisticated calendars
  • Provide general administrative support for meetings, including note-taking, supervising the completion of action items and key deliverables, and follow-up on outstanding items
  • When travel recommences, take charge of booking and travel management for all Foundation leaders, including booking all travel and hotels, directions, commuting time and ground transportation
  • Assist with various projects, including off-sites and presentations
  • Develop and nurture relationships with key operational partners, both internally and externally
  • Act as a trusted partner and advisor to Foundation leaders

On your first day, we'll expect you to have:

  • Excellent written communication skills, the ability to draft replies to emails on behalf of HoF and Directors
  • A ‘consider it done’ attitude and strong attention to detail
  • Experience specifically in administrative, coordinator, logistics or support roles
  • Outstanding organisational skills, with the ability to work both independently and collaboratively
  • Strong work ethic, coachable attitude and commitment to high standards
  • Energy and enthusiasm, with an aptitude for crafting a warm team culture and community by demonstrating patience under pressure
  • The ability to be comfortable with ambiguity and great excitement about innovation
  • Ability to manage multiple and often conflicting priorities
  • Strong Emotional Intelligence (EQ) and interpersonal skills

We'd love you to have:

  • High "Get Stuff Done" attitude and track record
  • Remote-working experience/proven track record to work independently, as well as in a team, demonstrating ownership and self-sufficiency for admin projects
  • The ability to wear many hats at one time
  • Some experience in using Atlassian products (but not required - we can teach you that)
  • The ability to build a good network within Atlassian (especially Atlassian Finance, HR, Legal, Senior Executive Assistants, etc.)
