The Head Start Administration and Communications Manager will take a lead in the organisation of the Head Start Cluster including:

  • Developing, managing and maintaining systems to keep track of Head Start plans, employers and training provision
  • Liaising with coordinators, schools, employers and training providers as needed
  • Financial administration and management
  • Reporting
  • Building continuous improvement into cluster practices

Through the provision of timely and effective support and attention to detail, the administration officer will contribute to the efficiency and effectiveness of the Head Start staff team, Cluster Board and be a valued member of the Head Start team.

The successful candidate will cooperate effectively with school communities within the Barwon area and collaborate with other Head Start colleagues at both Cluster and State-wide Program level.

Responsibilities

  • Develop systems and processes to manage, store and analyse Head Start student and Employer data and information.
  • Enhance cloud-based systems to allow remote data storage by HSAT staff.
  • Maintain and provide continuous development of client relationship management database across all schools allowing real time management of student and employer information.
  • Develop, maintain, and improve reporting processes.
  • Manage finance and budgetary processes including liaising with Business Managers across Head Start host schools by:
    • ensuring the availability of system generated financial reports, and
    • appropriate recording of payments and receipts.
  • Manipulate data and information; prepare documentation, reports, correspondence, and communications.
  • Liaise with Central Head Start management team as required.
  • Manage Head Start marketing strategy in conjunction with Central Communications Team to transform the way Head Start is communicated across Victoria. Required learning Mailchimp and Mailegen EDM platforms.
  • Support team administration.
  • Proactively build systems to cater for program growth.
  • Manage enquiries about Head Start in a digital setting.
  • Store information and documents appropriately and ensure confidentiality of all records.
  • Obtain factual information pertaining to local industry trends and events as required.
  • Coordinate the day to day operations of the Head Start team.
  • Organise and provide secretarial support to the Cluster Board and team meetings.
  • Other duties as required.

Selection Criteria

  • SC 1 Demonstrated proficiency in managing and developing automated reporting and data capture systems.
  • SC 2 Expertise in evaluating department workflow processes and implementing new functions to manage increased demand.
  • SC 3 Capacity to undertake support tasks across a range of functions including developing and managing Head Start marketing strategy.
  • SC 4 Demonstrated capacity to communicate effectively and work cooperatively with a range of people including teachers, education support staff, students, parent’s/carers students, employers and community members.
  • SC 5 Demonstrated proficiency in the use of office systems, Word, Excel and other software relevant to the position.
