The Sax Institute is an independent, not-for-profit organisation that improves health and wellbeing by driving better use of evidence in policies, programs and services.

The Institute has an international reputation as an Evidence Specialist, and nearly 20 years’ experience in translating research findings into policy drawing on our own expertise as well as that of our more than 60 member organisations. We work with governments, health organisations, research organisations and a network of experts nationwide to analyse policy problems and find the best evidence-based solutions.

About the Role

You will be a key partner to the CEO and demonstrate adaptability and proactivity in managing priorities and a complex schedule on behalf of your executive to ensure an efficient work environment.

You will have the opportunity to build strong relationships and liaise with a variety of stakeholders, both internal and external, in this critical support role.

  • Diary and travel management for the CEO (arranging face to face, tele/video conference meetings, arranging travel, accommodation and transfers as required).
  • Efficiently manage a busy inbox and draft correspondence on behalf of the CEO, managing the flow of information discreetly and confidentially.
  • Assist the Company Secretary with the preparation of Board and Committee agendas, reports, minuting and distribution (including travel/venue logistics if needed).
  • Manage purchase orders, expense and travel claims on behalf of the CEO.
  • Complete general administrative duties and document management as needed.

Essential Criteria:

Your exceptional organisational and time management skills, along with your positive professionalism, will be crucial. You will excel in stakeholder engagement and possess excellent written and verbal communication skills.

  • Robust experience in a C-suite support role with experience in liaising with a Board of Directors is a must-have.
  • Technologically savvy with an intermediate - advanced proficiency in Microsoft Office - Word, Excel and PowerPoint.
  • Demonstrated experience displaying confidentiality and professionalism when holding sensitive information.
  • Outcomes focused and strong experience in meeting deadlines and demands in alignment with organisational priorities.
  • Excellent stakeholder management and engagement skills - with the ability to tailor approach and communication style to a wide range of stakeholders.
