We’re looking for a standout team assistant to support our Sydney team. This is a role where you can apply and grow your skills across a range of business functions, including senior management support, operations, HR and more!

About you

This role provides critical administrative and coordination support to our senior management team, Operations and HR team, and broader advisory team. It would suit an all-rounder with 1-3 years of previous administrative experience who is keen to develop their skills across a range of business functions, and play a key role in managing the day-to-day life of our Sydney office and team.

What you’ll need

To be a Team Assistant with BIT, you’ll need:

  • To be able to work across multiple focus areas and manage competing priorities effectively — you’ll be involved in many different areas of the business, so you’ll need to prioritise and manage your workload
  • To have a collaborative and flexible approach to teamwork — you’ll be working closely with staff across all levels on a range of different activities, and you’ll need to pitch in and support others with ad-hoc requests as they come up
  • To be self-motivated and able to work autonomously to deliver your work
  • Strong communication and interpersonal skills — this is a real ‘people person’ role, so you need to be confident in interacting with the team and other stakeholders
  • To be able to meet deadlines and work under pressure — you’ll need strong organisation and time management skills
  • The ability to learn and comprehend new material and information quickly and efficiently — you’ll be constantly learning new things and stretching yourself!
  • Strong IT skills and ability to apply these across a range of platforms, including Office Suite or G Suite
  • 1-3 years of administration experience, preferably (but not necessarily) in a small business or consulting or professional services firm

What you’ll be doing

As our Team Assistant, you’ll be responsible for a diverse range of tasks, which means no two days are the same. Some of your key areas of responsibility include:

  • Executive support to the senior management team (30%) — including managing the Managing Director’s calendar and inbox, processing expenses, coordinating travel, preparing materials for meetings and presentations, and being responsive to other ad-hoc requests from the Managing Director.
  • Office coordination (20%) — including managing equipment and stock, maintaining the office environment and coordinating services and suppliers, managing WHS policies and processes, liaising with IT support as needed, and supporting the logistics for our 2022 office relocation.
  • HR and Operations support (30%) — including coordinating recruitment activities, supporting staff onboarding and offboarding processes, and championing team culture and staff engagement by organising team events and activities
  • Team administrative support (20%) — including organising team meetings, organising catering, coordinating training events as required, and supporting project teams with ad-hoc project-related tasks as required
