We’re looking for a professional Executive Assistant with relevant experience who wants to join our 2,000+ team of staff and volunteers to make a difference on a 6 month maximum term part time basis, working 4 days per week based in Fitzroy.

THE ROLE

The EA and Business Support Officer provides high quality, efficient executive assistance and administrative support to the Director - Aged Care and Business Architecture. This position works closely with the Director and senior management of Aged Care Division in developing and implementing effective administration systems/work practices that support the delivery of services of a complex and diverse Division.

Key responsibilities include but not limited to:

  • Deliver efficient and timely high level administrative support to the Director including coordination of meetings, travel and records management, invoices / credit card reconciliation, in a manner that permits sufficient time to fulfil the leadership requirements of the role
  • Be the first point of contact for incoming enquiries to the Director;
  • Assist in the promotion of effective relationships with all of Aged Care’s stakeholders by attending to a broad range of e-mail, mail and phone calls inquiries and requests efficiently, determining the level of priority, redirecting where appropriate and if necessary, responding on behalf of the Director in consultation with, or at the direction of the Aged Care
  • Work with the Director and other members of the Division’s Senior Management team to develop, implement and maintain a range of high quality administrative and business processes and systems that support efficient operational management of the Division.
  • Ensure timely and accurate reporting for the Director and Senior Management Team in relation to their responsibilities for: Board Reports, Progress Reports, Performance reporting etc.

Salary will be in the range of $74,531.95 – $80,194.32 per annum, based on skills and experience plus superannuation.

To be considered for the role and be successful in it, we’re looking for someone who has the following key skills and experiences:

  • Demonstrated experience in providing a range of confidential administrative support services at senior management level, including experience in developing and maintaining executive and/ or corporate administrative systems.
  • Proven ability to work with a high degree of independence and as a team member to achieve goals
  • Highly-developed administration, computer skills and competency in Microsoft programs
  • Well-developed interpersonal and communication skills with the ability to build effective relationships and liaise across all levels both internally, externally and with people from diverse backgrounds
  • Demonstrated proactive approach to anticipate requirements, take initiative and provide effective solutions.
  • Well-developed organisational and time management skills with the ability to manage high and varied workload, organise priorities, meet deadlines whilst maintaining confidentiality of sensitive information
  • Advanced skills in the use of computer applications and technologies, Microsoft Office suite of programs and tools which assist in project/ data management and performance measurement.
  • Understanding of and empathy with the values and ideals of the Brotherhood
