We’re looking for a professional Facilities Administration Officer with relevant experience to start in January or February 2022, who wants to join our 2,000+ team of staff and volunteers to make a difference on a 12 months maximum term full-time basis with potential to extend, working 38 hours per week based in Fitzroy.

THE ROLE

This role is responsible supporting the Facilities & Assets team by undertaking a range of property related administration tasks, and for assisting in the coordination of repairs and maintenance of facilities (due to breakdown, fair wear and tear, and end of lifecycle). This role also ensures that activities are actioned to support the team in a timely manner.

  • Review and code monthly property rental and outgoing invoices for accuracy
  • Code maintenance contractor invoices in preparation for approval
  • Maintain the contractor Due-Diligence records so that records are current
  • Ensure the Facilities System Database (‘Upkeep’) records are actioned and work flowed from commencement to completion within acceptable time frame, including communications with contractors, and recoding progress updates
  • In consultation with your manager, obtain pricing and approval to undertake works
  • In consultation with your manager, assign compliant contractors and issue work-orders to undertake facility services activities

The first term of engagement is 1 year with a potential to extend.

Salary will be in the range of $64,624.42 - $69,287.36 per annum, based on skills and experience plus superannuation.

  • Strong attention to detail, able to interpret, record, and report accurate
  • Be meticulous in following instruction and delivering premium quality on all assigned tasks
  • Understand dependencies and impacts of assigned tasks
  • Able to prioritise tasks and deliver outcomes within due and acceptable time-frames
  • Well developed interpersonal and communication skills with the ability to build effective relationships, tailor language to suit the audience, and converse in a meaningful way with people of diversity
  • Capability to understand and adapt processes to best practice methods considering OHS
  • Intermediate level in Microsoft Software Applications
