About The Opportunity

This is a very diverse opportunity for a highly motivated and diligent Executive Support Officer to step into a role that will see them be an integral member of day-to-day support operations across the business.

Reporting to the Head of Corporate Services, our successful candidate will support the Executive Management Team, the Carers WA Board and the wider Corporate Services team (including ICT, WHS and Human Resources) in varied aspects of meeting and event coordination, minute taking, building and record management, as well as playing a key role in the onboarding process for new staff.

This is a true support role that will see you gain exposure to all aspects of the Corporate Team’s service delivery. This opportunity is ideal if you are looking to step into a role that will see you work closely with stakeholders across the business, for this reason, it is essential that our successful candidate be able to build and maintain positive rapport and possess a “can-do” approach to their work.

Duties and Responsibilities include, but are not limited to:

  • Provide board meeting support to the CEO, Executive Team and Board members, including taking minutes, coordinating meeting set-up and following up on all assigned action items as deadlines approach
  • Scheduling, managing, and recording the minutes of monthly Staff Meetings
  • Maintaining and updating organisation and Board records
  • Scheduling, managing, and recording the minutes of monthly Staff Meetings
  • Provide support to the wider Corporate Services team, including assistance in new-starter and IT set-up requirements, supporting facility maintenance and WH&S procedures
  • Assist and support the planning of corporate events including wellness activities, Annual General Meetings and training events

To be successful in this role, you will:

  • Have a demonstrated background in providing support at the executive level, including the ability to confidently complete meeting minutes and notes to a high-standard
  • Hold 2-3 years prior experience within a general administration or office coordination role
  • Have a high-attention to detail and ability to really push work across the line
  • Have the ability to work on several projects simultaneously to tight deadlines, and prioritise your own workload accordingly
  • Excellent interpersonal, verbal and written communication skills with the ability to work and interact with a wide range of stakeholder across the business
  • Have excellent computer skills, Microsoft Office Suite, especially Excel, and demonstrated skills in database management and record keeping
