ORGANISATION

This national health charity delivers high quality support to people with asthma and their carers’ as well as preventative health strategies, training and resources to the primary health care sector. They fund vital science and population health research contributing to national and international understandings of asthma and how best to manage the disease.

ROLE

Fantastic opportunity for an experienced, confident and professional Executive Assistant responsible for supporting the CEO in effectively managing stakeholder relationships, diary management, creating reports, taking minutes, conducting organisational and general administrative duties as well as booking travel and accommodation.

You will be well organised with a warm personable nature, possess excellent communication and stakeholder management skills and enjoys proactively looking for ways to support the executive and the broader team.

RESPONSIBILITIES

  • Email management and correspondence
  • Diary Management and travel arrangements
  • Screening phone calls and fielding queries
  • Read, summarise, and analyse incoming documentation
  • Research and prepare reports and presentations
  • Manage files and assist with formatting of documents
  • Minute taking and attend key meetings
  • Review operational procedures providing recommendations
  • Set up and oversee policies and procedures
  • Undertake generic office management including ordering supplies, maintaining records for example.

YOUR SKILLS & ATTRIBUTES

  • Relevant experience in an Executive Assistant position.
  • Confident, well organised and professional with sound judgement and a mature approach to work.
  • Demonstrated ability to juggle conflicting priorities and deadlines.
  • Ability to work in a challenging environment.
  • Excellent communication skills, both written and oral, with the ability manage key stakeholders.
  • Sound problem-solving with strong decision-making capabilities.
  • Excellent organisation skills and ability to manage multiple projects simultaneously.
  • An understanding of the NFP sector will be highly regarded.
