About the team
A significant proportion of Cancer Council NSW’s research investment is through a suite of research grant schemes, providing funding to the cancer research community across Australia. The grant program is administered by the Research Grants Management Team and overseen by the Cancer Research Committee. The team facilitates the scientific and community assessment. The team also develops the research strategies for Cancer Council NSW and ensures all conducted research aligns and integrates with the organisational strategies and values. The team collaborates closely with teams across the organisation.
About the role
The Research Grants Specialist provides proactive and customer-oriented support to the research community and other stakeholders as part of Cancer Council’s research funding program. The role has research grant administration, governance, data reporting, and stakeholder management responsibilities. It will also involve supporting the Director of Research Strategy and Operations, CEO and Executive Leadership team in the management of review of, and future improvements in CCNSW’s grant management platform and processes and the administration, as required, of strategic research investments.
Key responsibilities of the role
Research Grant Administration
- Responsible for the efficient and timely management of all pre- and post-award administrative tasks that support the research grants program
- Responsible for the development of reports, grant application processes and supporting documentation for grant rounds
- Responsible for developing regular and ad hoc reports that provide accurate insight into current operations
- Liaise with Finance to complete acquittals and payments
- Create and maintain accurate grant application records
- Ensure contractual agreements between Cancer Council NSW and recipients of funding are met, including financial, timely submission of reports, and compliance with research ethics and regulatory requirements
- Responsible for the ongoing management of all established grant agreements including processing variation requests, drafting contract amendments, grant extensions, parental leave, changes to administering institution etc.
- Assist with financial reports in relation to grants paid and acquittals
- Contribute to research impact data and information collection, collation, and reporting
- Contribute to effective internal and external communications about research funded and conducted by Cancer Council.
- Convene the Consumer Review Panel: provide secretariat support to the Panel and provide written feedback to funding applicants based on the consumer review of grant applications.
Coordination
- Provide secretariat support to the key governance committee, the Cancer Research Committee, which is a sub-committee of the Board where required
- Act as secretariat for national Cancer Council Research Intelligence Sub-Committee
- Coordinate the Consumer involvement in research program, including Consumer in Research training and information sessions and Consumer Review Panel training
Management of new strategic initiatives
- Supporting the Director, Research Strategy and Operations, CEO and Executive Leadership team in the management of review of, and future improvements in, CCNSW’s grants management platform and processes
- Administration, as required, of strategic research investments.
Consumer, Communications & Relationship Management
- Promote research funding opportunities, effectively communicating the purpose(s) of grants programs to all stakeholders
- Promote best practice in terms of consumer involvement of research and implement ‘consumer in research’ training initiatives as required
- Respond in a professional manner to questions from prospective applicants and other relevant parties
- Maintain currency of information on Cancer Council NSW website relating to grant schemes.
- Provide regular research and grant updates to relevant stakeholders
- Other responsibilities for the effective delivery of extramural grants at CCNSW, as required.
Information Management
- Maintain and manage relevant databases to ensure clear records of grants awarded are captured and readily available for reporting or strategic planning purposes
- Assist in the production of high-quality research data reports for Senior Management by collecting, extracting, summarising and interpreting data, including national research investment data for Cancer Council Federation
- Prepare and maintain currency of standard operating procedure documents for accountable tasks.
- Proactively identify opportunities for streamlining grant administrative processes.
Other
- Adhere to all CCNSW internal policies and external legislations i.e., Privacy Act, PCI Compliance, Charitable Fundraising Act requirements, financial controls etc.
- Contribute to the documentation of internal policies and processes.
About you
Essential
- Tertiary qualifications and recent relevant experience in a research administration environment
- Demonstrated ability to interpret and apply complex instructions and guidelines; and a demonstrated ability to critique documents and provide constructive feedback.
- Demonstrated organisational and time management skills, with proven ability to organise and prioritise work and complete tasks with tight timeframes, while maintaining strong attention to detail.
- Demonstrated experience maintaining accurate records including data entry, extraction, analysis, monitoring, and compliance. Demonstrated experience in systematic and accurate data entry and manipulation of database outputs are essential.
- Demonstrated highly developed computer skills, including proficiency using MS Office suite and experience with online data management systems.
- Demonstrated experience in providing secretariat support to committees.
- Demonstrated experience dealing with information of a confidential nature
- Demonstrated ability to work independently and work cooperatively within a team setting
- Excellent customer services and interpersonal skills, both written and verbal, and the ability to provide clear, succinct, and accurate advice.
Desirable
- Experience in working with consumers in research
- Advanced skills in Excel
