Climate Council was founded in 2013 by thousands of Australians to create a new, independent and 100% community-funded organisation in response to the abolition of the Australian Climate Commission.

About the Role

The Executive Assistant provides high-level executive assistance to the Climate Council CEO. This includes diary and inbox management and prioritisation, and communications with team members and external stakeholders to facilitate the CEO’s effective engagement in Climate Council activities. The Executive Assistant also provides project support to the CEO and Senior Leadership, and administrative support for Senior Leadership and Management Team meetings.

As the Executive Assistant you thrive in a fast-paced environment, have excellent written and communications skills, the capacity to build and maintain authentic relationships with a diverse range of stakeholders and are adept at troubleshooting!

Reporting The Executive Assistant reports to the Chief Executive Officer. The Executive Assistant has no direct reports.

Key Responsibilities

The key responsibilities of the Executive Assistant include:

  • Manage the CEO’s diary, including coordination of meetings and travel arrangements (COVID-19 permitting).
  • Sort and prioritise the CEO’s inbox, and draft high-level correspondence that fits the CEO’s communication tone and style.
  • Triage incoming phone calls, including from donors and supporters, and requests related to the CEO’s time such as speaking opportunities or events.
  • Prepare materials that enable the CEO to participate effectively in meetings and present at events (e.g. briefing notes, presentations).
  • Bring priority matters to the attention of the CEO to ensure they are actioned efficiently.
  • Build and maintain authentic relationships with a diverse range of Climate Council stakeholders.
  • Establish, coordinate and maintain effective filing systems.
  • Prepare agendas and minutes for internal and external stakeholder meetings including weekly Strategic Committee meetings and monthly Management Team meetings.
  • Provide other, high level administrative and project support to support the CEO and Senior Leadership Team as required (e.g. expense claims; process reviews and improvements).
  • Contribute positively to the Climate Council culture and act in accordance with Climate Council values.

Experience, Skills and Qualifications Experience and Skills

  • Minimum 3 years experience in an Executive Assistant or equivalent role.
  • Ability and willingness to foster and initiate continuous improvement.
  • Demonstrated interpersonal skills with the ability to build and maintain authentic relationships with internal and external stakeholders.
  • Experience supporting relationships with partner organisations and/or donors will be considered favourably.
  • High level written and verbal and communication skills.
  • Highly developed time management, planning and organisational skills with the ability to multitask and prioritise to meet deadlines.
  • Confident troubleshooting and problem-solving; ability to make decisions when needed, with a solutions mindset.
  • Proactive and able to work with minimal supervision.
  • Commitment to record keeping in all aspects of assigned work.
  • Excellent attention to detail.
  • Advanced use and knowledge of the Google Workspace.

Remuneration and Benefits

  • 0.8 FTE, annual salary of $80-$85k +super (pro-rata) based on experience
