ABOUT CPSU

The Community Public Sector Union is a member-led union whose purpose is to protect and improve public services for all Tasmanians and the working lives of those who deliver them.

The Union is driving change by growing union membership, developing leadership amongst our members, and encouraging active member participation in the union.

The CPSU represents members in the public sector, universities and government owned enterprises.

KEY RESPONSIBILITIES

The Office Manager provides administrative leadership for the office and to the Secretary, Assistant Secretary, and teams to ensure that the office works effectively and efficiently.

This role undertakes governance, financial, administrative, and high-level executive support functions, the successful applicant will be a detail-oriented team player with expertise in establishing and embedding culture around efficient systems of work.

The position will liaise with internal and external stakeholders including Senior Management, Heads of Agencies, Ministers, Parliamentarians, and members of the public.

REMUNERATION

An attractive remuneration package will be offered to the successful applicant, which will include:

  • Salary commensurate with demonstrated skills and experience;
  • 10% superannuation;
  • 26 days annual leave

This role is available full time or part time, flexible work arrangements are available and encouraged.

KEY DUTIES

The duties and responsibilities of this position are as follows:

Managing the business side of the union

  • Manage administrative functions relating to governance and compliance with legislation, as well as the implementation of the union’s policies and procedures
  • Coordinate the union’s financial affairs including payroll, invoicing and the preparation and management of the budget
  • Maintenance of the financial and personnel records
  • Manage the union’s assets including maintenance and replacement and the management of the vehicle fleet
  • Manage the union’s procurement of goods and services and engage with suppliers and vendors for services as required including IT
  • Provide advice to the Secretary regarding administrative functions
  • Regular review of all service contracts to ensure best value and opportunities to improve systems and processes

Executive Officer to Secretary

  • Diary management and organisation of travel itineraries
  • Organise and plan meetings for Secretary, including providing executive support to the Executive and Council
  • Minute taking of meetings involving the Secretary and follow up of action items
  • Correspondence and email management
  • Prepare communications on behalf of Secretary
  • Conduct or prepare any research or reports that the Secretary may require
  • Undertake research, analyse data and prepare summary recommendations for reports or responses to enquiries on behalf of the Secretary.

Administration Support

  • Membership support including updating of records.
  • Reception duties and call management
  • Maintain electronic filing system.

KEY SELECTION CRITERIA

  1. Highly motivated with excellent time management, accuracy, and attention to detail
  2. Excellent planning and organisational skills with the ability to prioritise and meet deadlines.
  3. Experience managing a budget and working to strict governance and legislative requirements
  4. Excellent grammar, verbal, and written communication skills
  5. Demonstrated ability to proactively support a senior executive with their day-to-day operations including an ability to anticipate needs.
  6. Intermediate skills in MYOB and Microsoft 365
  7. Ability to sustain high level performance, problem solve and flexibility to meet sometimes rapidly changing deadlines with limited supervision.
  8. Demonstrated ability to maintain discretion, confidentiality, and diplomacy in responding to/and in management of enquiries
  9. Some out of hours administrative support may be required
