Purpose of Role

The CPD Administrative Officer role is primarily responsible for administrative support, answering enquires, venue bookings and maintaining and improving processes. The role contributes to the overall success of the CESPHN Continuing Professional Development Program for general practitioners and other health professionals in the Central and Eastern Sydney region.

Key Responsibilities

This position is responsible for providing a range of administrative and support services to meet the operational needs of the CESPHN Continuing Professional Development (CPD) team.

Key responsibilities include:

  • Providing administrative support to the CPD team, answering queries via phone and email
  • Maintaining the events inbox and actioning any queries within 24 hours of receiving request
  • Assisting with member number requests and membership queries
  • In collaboration with program teams, managing event logistics including event inquiries, registrations, invoice processing, room bookings, catering arrangements and quality control
  • Manage the bookings and registrations for CPR, Triage and Cultural Awareness training
  • Monitoring events registrations, providing regular updates to CPD team and organising Program Officer
  • Supporting event promotions by preparing and delivering promotional activities e.g. event flyers, creating zoom links and website updates, in line with the agreed promotion approach
  • Updating the event evaluation data fields in salesforce including updating post attendance registrations and evaluation scores and completing activity reports and post event attendee follow up
  • Preparing all event documentation and resources, ensuring organising program officer has all relevant documentation including event packs, venue information and CPD key messages
  • Providing administrative support in event management, systems maintenance and activity reporting for the overall CPD program team on an ongoing basis
  • Supporting the effective operations of the CPD program team by monitoring and ordering supplies so the right materials/resources are available when needed
  • Supporting and attending CPD events virtually and / or in person when required
  • Performing other duties commensurate with skills and experience as directed by the CPD and Events Manager
  • Supporting the collection and maintenance of high-quality data in compliance with policies and procedures, including the protection of confidential information and the implementation of data quality improvement plans
  • Participating in the development of a safe and healthy workplace and comply with WHS legislation and instructions given in adhering to safe work procedures

Selection Criteria - Essential

  • Excellent interpersonal and communication skills
  • Highly organised with great time management skills
  • Ability to work autonomously but also within a team
  • Exceptional attention to detail
  • Experience using MS Office (Office365) and related applications including strong knowledge of Word, Excel and PowerPoint.
  • Possess a 'can-do' attitude, and be willing to take initiative and multi task
  • Ability to work evenings and occasional weekends to assist with events

Selection Criteria - Desirable

  • Experience with event operations and logistics
  • Experience using Salesforce
  • Experience hosting online webinars
  • Previous events / customer service / admin experience
  • An understanding of the primary health care environment and experience in communicating with health care professionals
