Family Day Care Association Queensland is a values based not for profit organisation and we have an exciting opportunity for an Executive Assistant to join the team.

Research states that the first five years of a child's life are the most important for their ongoing development. Our organisation has spent almost half a century ensuring families have a flexible, home-based choice of early education and care option for their children.

About the role

The Executive Assistant provides support to the Chief Executive Officer and senior leadership team and is responsible for the following;

  • Managing the CEO’s diary including coordination of meetings and appointments
  • Preparing correspondence, reports, meeting minutes and contracts as required
  • Minute taking during meetings
  • Ensuring Board Papers are prepared to a high standard and circulated on time
  • Coordinating development and delivery of Board agendas and papers in consultation with the CEO / Board Chair
  • Coordinating Annual General Meeting procedures and papers in consultation with the CEO / Board Chair
  • Coordinating travel and accommodation requirements when required
  • Coordinating venues and catering for off-site meetings
  • Maintaining document control, update policies, procedures and other company documents
  • Other administrative and executive support activities to support the Senior Leadership Team

About you, you will need the following;

  • Previous experience in a similar role
  • Demonstrated high level interpersonal and communication skills, both oral and written
  • Experience rafting correspondence and minute taking, and an ability to liaise effectively with stakeholders and dealing efficiently and tactfully with sensitive and confidential matters.
  • Proven organisational skills and ability to prioritise own workload and to use sound judgement, managing competing demands and deadlines and delivering high quality outcomes.
  • Proficiency using the MS Office suite, particularly Outlook, Word and Excel.
  • Demonstrated customer service experience and skills. An understanding of and commitment to high quality, professional customer service.
  • Demonstrated teamwork skills and ability to take initiative, demonstrate flexibility, and provide support to other team members.
  • Demonstrated understanding of occupational health and safety, and continuous improvement principles.
