OVERVIEW

  • The First Peoples’ Assembly of Victoria (the Assembly) is the voice of Aboriginal people in Victoria in the next stage of the Treaty process. It is made up of Victorian Traditional Owners, elected by Aboriginal Communities, for Aboriginal Communities, to advance their rights, interests, and benefits
  • The Assembly works with the State to establish Treaty processes that recognise the sovereignty of the First Peoples of Victoria, support self-determination, and realise human rights, to make Victoria stronger for everyone.
  • This role is responsible for providing high quality secretarial and administrative support to the Co-Chairs, managing challenging diaries and exercising judgement to quickly identify emerging issues to deliver the Assembly’s priorities.

The Role

The Executive Assistant to the Co-Chairs works under limited supervision and whilst providing reporting to the CEO and high level confidential secretarial and administrative support including extensive diary management, email and travel management.

Your previous experience and skill set includes:

  • Comprehensive knowledge of Victorian Aboriginal Communities
  • Respectful and collegiate approach to work, and to community members
  • Demonstrated experience as an executive assistant, or other relevant administrative support experience
  • Excellent judgement and decision-making skills
  • Highly organised and able to prioritise tasks
  • Able to meet tight deadlines and comfortable working in a fast-paced, quickly changing environment
  • A proactive approach to problem-solving
  • High level verbal and written communications skills.

KEY DUTIES

  • Working under limited supervision, provide high level confidential secretarial and administrative support including extensive diary management, email and travel management.
  • Coordinate meetings and travel, including diary management, the preparation of presentations and agendas, minute taking and facilitating follow-up action.
  • Assess and prioritise incoming papers, emails and telephone enquires and take follow up action by replying to and processing correspondence, ensuring the Assembly’s requirements are met
  • Answering calls, taking messages, coordination and preparation of travel, reports, letters, memos and other communications and documents as required for Co-Chairs
  • Management of the challenging schedules of the Co-Chairs including coordination of preparatory materials
  • Monitoring and management of incoming correspondence to identify critical issues for the attention of the Co-Chairs
  • Other executive support as required by the Co-Chairs

SALARY & TERM

  • Ongoing, subject to continued funding
  • Salary of $98,000 - $120,000 per annum (full-time equivalent) plus superannuation, based on experience and expertise of the occupant.
