This position will be five days located at Gidget House North Sydney with occasional flexibility.

Contract:
This role will initially be contracted for a one-year period, with the option to extend as required and feasible.

Remuneration:
The annual gross salary for this position is $60,000 plus superannuation.

Primary Responsibilities:
The Gidget Foundation Australia (GFA) Organisational Marketing and Administration Executive role is required to primarily support the CEO as well as support both the GFA Digital Manager and Organisational Development Manager as required, by coordinating and implementing a range of administrative, and fundraising functions to support the delivery of Gidget Foundation Australia’s organisational operations.

Role reports to: CEO

The primary functions of the Organisational Marketing and Administration Executive will be:

A. Supporting the CEO

  • Support CEO, as required with email management, letter writing and general correspondence

  • Prepare written documents such as proposals, presentations and emails
  • Format documents and presentations, as required

  • Write minutes from meetings (as required and directed by the CEO)

  • Respond to ad hoc support requests from the CEO for administration support

B. Grants

  • Identify relevant grant funding opportunities and review notifications
  • Schedule diary notes, including the relevant people within the organisation, for any grant reporting, invoices to be drawn or acquittals

C. Fundraising & Events Support

  • Provide support to the team as required, in particular with events including, but not limited to, Gidget Ladies’ Lunch, Melbourne Cup Lunch, Boardroom Lunches and Women’s Health Week Launch

  • Support the implementation of the Bun in the Oven (BITO) and Have a Yarn for Gidget campaigns, as required

  • Prepare and send thank you letters to donors

  • Coordinate and deliver fortnightly donor care calls

  • Support the administration of the Gidget Collective regular giving program including donor care and upgrade calls

  • Support the Digital Manager with administration of the Fundraising platform

D. Support for Financial Management

  • Supporting the delivery of the organisation’s financial administration functions, under the guidance of the CEO
  • Download GFA website sales report on a monthly basis

E. Customer Relationship Management (CRM)

  • Create and maintain accurate CRM records in Salesforce (GFA’s new CRM software)
  • Support, as required, the Project Manager and Digital Manager, with the transition from Little Green Light to Salesforce
  • Provide ongoing administration and support of the Salesforce CRM as a super user

F. Program Promotion

  • As capacity allows, support the Program team with promotion to raise the profile of GFA’s services

G. General Administration

  • Manage the inbox [email protected]

  • Prepare team meeting agendas

  • Update the Staff Handbook, as required

  • Upload newsletters and news stories to the GFA website

  • Manage collateral inventory

  • Manage Bunny Books inventory

  • Providing administrative support for GFA operations, including monitoring and ordering office and general supplies; postal requirements, printing needs etc.

  • Attend Committee Meetings, prepare agendas and write minutes for each meeting

  • Support the distribution of organisational post and couriers

  • Liaise with the GFA IT team as needed, to coordinate office and team requirements
