ABOUT THE ROLE

We are seeking a hands-on executive office administrator with a high level of professionalism to be the Executive Assistant to the CEO. You will be the CEO’s 1:1 secretarial support person and an integral business administrative support for various functions across the organisation.

Your day-to-day responsibilities will include but won’t be limited to:

  • coordinating various administrative tasks including diary management, scheduling appointments, minute taking for meetings, following up action items/lists, research and preparing documentation, reports and communications on behalf of the CEO.
  • work collaboratively with internal and external stakeholders on varying administrative tasks including scheduling, preparation and follow up of various business activities.
  • coordinating and providing administrative and logistical support for events and work activities such as CEO meetings and presentations, the Annual General Meeting (AGM), program launches, and organisation/employee celebrations and preparing offerings as required.
  • coordinating and managing the centralised processes of office equipment and supplies for the corporate office and all program sites.
  • managing and directing incoming communicators appropriately.

ABOUT YOU

You have demonstrated experience in supporting a CEO or an executive assistant, secretary, or personal assistant within the housing, homelessness and/or community not-for-profit sector.

You have a formal qualification in Business Administration or other related qualification, and you enjoy the challenge of competing demands, direct instructions and minimal supervision.

You pride yourself on excellent organisational and time management skills and are flexible and mature to manage priorities, timeframes, competing instructions and deliver outcomes as specified.

You are experienced at maintaining confidentiality and demonstrating a high level of professionalism in all areas of work and interactions with stakeholders at all levels.

You have great attention to detail, excellent communication skills and are proficient in Microsoft Office applications.

WE CAN OFFER YOU

  • Permanent Part time - 4 days (30.4 hours) per week between the hours of 8 am – 6 pm on-site.
  • Varying work within medium NFP business and a small, professional corporate team.
  • Corporate team based in Brunswick Town Hall - a historic building in the heart of Brunswick’s diverse community and urban cafes
  • NFP salary packaging up to $18,450 of your salary tax free
  • Close proximity to all Public Transport or park on the street and walk 7-10 minutes
