Jean Hailes for Women's Health is a national, not-for-profit organisation dedicated to improving women's health throughout the various stages of their lives. We combine research, clinical care, policy work and practical education for women and health professionals.

Based at Head Office in East Melbourne and working within the CEO Team, the Executive Assistant & Office Manager role will see you apply highly-developed organisational and analytical skills to proactively support the CEO and keep the whole office humming!

This is a part-time (0.8FTE, equivalent to 4 days per week), fixed term maternity leave replacement for 12 months. Must be able to work Fridays. Spreading 4 days over 5 (i.e. 6 hours per day Monday to Friday) is possible.

Responsibilities of this role will include:

  • Responsible for the internal workings and day-to-day smooth running of the office
  • High-quality executive and project management support to the CEO as required
  • Coordination of meetings/events, including diary management, venue/room bookings, catering and audio-visual equipment
  • Preparation of documents such as correspondence, proposals, project reports and presentations
  • Creation and maintenance of customer relationship management records
  • General support to all team members and other projects as required

Your skills and experience will include:

  • Demonstrated experience working in administration or PA/EA role
  • Exceptional organisational skills, including an ability to meet deadlines and prioritise tasks
  • Impeccable attention to detail and quality
  • Excellent verbal and written communication skills
  • A high level of interpersonal skills, which enable the appointee to liaise effectively with a wider range of people at a variety of levels, both internal and external to the Foundation
  • Advanced Microsoft Office skills

Working directly with various stakeholders internally and externally, you will be an integral part of the Jean Hailes Team. Your professional nature, high level of interpersonal skills and proactive approach will hold you in good stead to hit the ground running in this varied role.
