About The Joondalup Family Centre Inc:

Joondalup Family Centre (JFC) is a not for profit organisation, funded by the Department of Communities, offers a range of activities to the people of Joondalup and surrounding areas. It is our aim to provide a variety of programs and services to meet the needs of local families, community organisations and other stakeholders.

The objects of the Joondalup Family Centre are to reconnect people and build a diverse, cohesive community that grows together, by providing place, connection, inspiration, opportunity and support.

Reporting Relationship:

Position reports to the Chairperson of the Joondalup Family Centre Management Committee.

Supervisory Responsibilities:

  • Admin & Programs Coordinator
  • Lead Educator
  • Teaching staff
  • Any other staff employed to undertake and deliver programs and services

Primary Responsibilities of this position:

Centre Management

  • Work closely with the Admin Programs Coordinator to learn/upskill and manage all daily operational aspects of the centre, including rostering, marketing, events and communications
  • Design, maintain, implement and update Centre's policies and procedures as required
  • Lead, develop, oversee and evaluate implementation of service delivery to clients
  • Communicate, promote and progress the vision and strategic plan of the Joondalup Family Centre amongst partners, other services and the broader community
  • Represent Joondalup Family Centre at events, conferences and seminars
  • Attend monthly management meetings with the Board
  • Develops, builds and maintains positive and collaborative communication and working relationships and partnerships with various internal and external stakeholders such as local government authorities, government agencies, community groups, other not-for-profit organisations, Volunteering WA, local schools, business, suppliers and the general public
  • Provides high level financial advice and information to the Management Committee with respect to the Centre’s budget, monthly and end of year financial and other reporting requirements
  • Prepares and presents proposals, funding submissions together with grant applications and develops and implements fundraising and sponsorship plans
  • Oversee the weekly programming undertaken by the Educators in the centre to ensure suitable and realistic objectives are set; appropriate teaching skills and strategies are utilised; resources used are suitable for the age group; concepts and ideas are suitable for the age group; outdoor interactions are integrated into the program; and antibias and/or multicultural approaches are included as part of everyday programming.

Staff Management

  • Lead, mentor and inspire the staff, to deliver a quality care and education programs and practice that ensures the care and development of each child in the centre Supervise team members, providing feedback, coaching and mentoring to team members as required
  • Develop and maintain staff rosters
  • Alongside Board Chair be involved in recruitment, selection and induction of staff as required
  • Plan and coordinate in-service training for the centre as required
  • Lead the development and implementation of initiatives to build an effective team culture within the centre
  • Actively participate in staff meetings, conferences and training courses where appropriate
  • Maintain a positive working relationship with all team members in the centre and with the Centre Board, in particular the Chairperson
  • Ensure communication between staff and management are maintained at all times
  • Emailing ALL staff with regular ideas and memos to ensure effective communication and moraleManage grievances and workers compensation claims

Occupational Health & Safety

  • Responsible for ensuring the provision of a safe environment for children, staff and families. Safety must feature highly in everyone’s daily priorities, with prevention as the key
  • Responsible for ensuring all staff are trained in OH&S related practices and policies to ensure a safe and effective environment is maintained
  • Regularly inspects equipment around the centre to ensure it is kept safe and useable
  • Organise and manage general cleaning tasks to maintain overall cleanliness of the room/Centre (i.e. sweeping/vacuuming floors, mopping floors, wiping tables, cleaning toilets) as required

Financial Management

  • In conjunction with the appropriate people, oversee and maintain the systems for accounting for monies earned and expended through service provision, and reconciling payments
  • Ensure there is financial responsibility and accountability in all areas of responsibility

Compliance

  • Oversee the implementation of quality systems and contribute to research development to ensure service integrity and quality
  • Ensure adherence to relevant quality and safety, professional and healthcare standards and mandatory education related to risk management, occupational health and safety, and other relevant areas
  • Monitor, evaluate and maximise data collection and compliance with the dataset requirements from headspace National Office and any other funding body
  • Maintains the centre’s records as they relate to staff; children; occupants; hygiene standards; daily operations; families etc.
  • Maintain confidentiality in relation to families/guardians, children and staff at all times
  • Regularly inspects & reviews room practices within each room, ensuring that best practice teaching and care is implemented across the centre; ensuring that registers and documentation are completed as required; ensuring that required ratios are maintained; & that each room is operating as per policy and regulation
  • Regularly audits records and documentation to ensure compliance with regulations, legislation and policy

Funding

  • Leads the preparation and presentation of proposals, funding submissions together with grant applications and develops and implements sustainable fundraising and sponsorship plans
  • Monitors consistently availability of any funding grants for which Joondalup Family Centre could qualify for
  • Uses own initiative to locate suitable grants and funding opportunities, including fundraising and marketing skills, to enhance Joondalup Family Centre visibility and success in raising funds

Selection Criteria

Essential:

  1. Experience working in an administrative and/or clerical support environment within a community development or community Centre, including experience in developing databases and efficient administrative systems.
  2. Demonstrated knowledge and experience of budgetary and financial management requirements, including accounting software packages.
  3. Demonstrated ability, knowledge and experience in funding
  4. Sound verbal, written and interpersonal communication skills, including the ability to liaise and engage with a range of internal and external stakeholders.
  5. Ability to plan, organise and prioritise workloads in order to meet agreed timeframes.
  6. Ability to undertake minor research projects.
  7. Proven ability to work in a team environment and contribute to the achievement of team goals.
  8. Demonstrated knowledge and understanding of marketing principles, including website maintenance, social media promotion and
  9. Unwavering passion for children, their learning and care

Desirable:

  1. Previous experience in Client Relationship Management software
  2. Previous experience in Funding (Federal & State)
  3. Experience in achieving targets and meeting safety & compliance standards
  4. Current First Aid Certificate
  5. Advanced Microsoft Office skills
  6. Superior decision making skills, problem solving skills & conflict management abilities
  7. Ability to work autonomously
  8. Critical eye for detail
  9. A strong network, demonstrating that you are exceptional at building enduring relationships. You engage with government, public & non-profit organisations, private, donors
  10. High level of attention to detail
  11. Previous Centre Management experience
  12. Exceptional time management
