Summary of Role

The Administration Officer is an entry-level position within AIDA’s Programs and Outcomes Portfolio, providing administrative support to the Programs Coordinator. This role is responsible for assisting with the delivery of programs, member services, and engagement activities. The Administration Officer will help ensure that AIDA’s programs and services are delivered efficiently and effectively, supporting the Programs Coordinator and contributing to the overall success of the portfolio.

Key Responsibilities

The following key duties are intended to describe the general nature and level of work being performed. They are not intended to represent an exhaustive list of all responsibilities, duties and skills required.

  • Assist with administrative tasks related to member services, including processing membership applications and updating member records.
  • Provide support for member engagement activities, such as coordinating logistics for networking events, workshops, and meetings.
  • Maintain accurate records and assist with data entry, document management, and filing systems to support efficient program operations.
  • Support the Programs Coordinator in preparing reports, presentations, and other documentation as needed.
  • Help monitor budgets, track expenses, and process invoices in line with AIDA’s financial procedures.
  • Support the coordination of meetings, including scheduling, preparing agendas, and taking minutes.
  • Assist with managing AIDA’s Client Relationship Management (CRM) system, including data entry, updating records, and generating basic reports to support member engagement and program delivery.
  • Provide general administrative support as directed, including responding to inquiries, preparing correspondence, and handling confidential information appropriately.
  • Support the maintenance of culturally appropriate practices and provide assistance to Aboriginal and Torres Strait Islander members.
  • Communicate effectively with diverse members and stakeholders, ensuring a culturally safe and respectful approach.

Essential skills

  • Demonstrated commitment to culturally safety and an understanding of current and historical issues affecting Aboriginal and Torres Strait Islander Peoples.
  • A sound understanding of current and historical issues affecting Aboriginal and Torres Strait Islander Peoples.
  • Strong organisational and time management skills, with the ability to handle multiple tasks and meet deadlines.
  • Excellent attention to detail and accuracy in data entry and record-keeping.
  • Good written and verbal communication skills, with the ability to work collaboratively within a team environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and an aptitude for learning new software and systems.

Desirable skills

  • Experience in an administrative role within a not-for-profit or membership-based organisation.
  • Knowledge or experience with CRM systems.
  • Familiarity with the health sector, particularly Aboriginal and Torres Strait Islander health or cultural contexts.
