About the role

Reporting to the Property Manager you will oversee the maintenance & contracts portfolio, working in partnership with the Facilities Maintenance Vendor. You will be responsible to manage the operations, maintenance and compliance obligations for all LWB owned and leased properties.

This is a full time 18 month maximum term contract, location Newcastle, Central Coast or Sydney.

Key Responsibilities

  • Lead and manage a small team of Facilities contract officers, working in partnership with the Facilities Maintenance vendor to manage facilities maintenance including:
  • Site escalations, complaints, access issues, Extension Of Time requests, quality, time and safety reviews
  • Modification requests, multi trade works and vacate works
  • Commercial cleaning
  • Third Party inspection processing
  • Survey tool outcomes and escalations
  • Facilitate periodic maintenance requests review meetings with client services management, as required
  • Ensure compliance obligations and maintenance are met all LWB owned and leased properties.
  • Ensure the Facilities Contract team tickets are resolved in a timely manner
  • Oversee the planning and performance of maintenance, including for leased properties, so it is carried out in a timely manner, with minimal disruption to both the property and its clients and identify potential issues.
  • Manage the validation of invoices via the Vendor portal and cross check quotes/cost reconciliation to invoices received
  • Manage the Newcastle Office Site
  • Proactively offer solutions by analysing all reports and identifying trends and areas of improvement

Skills & Experience

  • A Class C Driver’s License
  • Demonstrated experience in contract management and execution
  • Facilities Maintenance or Construction Experience
  • Experience leading a property portfolio, including residential & commercial leasing knowledge
  • Working knowledge of relevant legislative and regulatory environment for areas of business responsibility
  • Demonstrated experience to persuasively and effectively negotiate
  • Demonstrated experience in conflict and crisis management
  • Ability to exercise good judgement within the context of risk management
  • Ability to work collaboratively with a range of stakeholders including executive level stakeholders, peers, employees and external organisations
  • Strong verbal communication skills, presentation ability and demonstrated written communication skills for the creation of reports etc
  • Proficient ability in the use of the Microsoft Office suite of programs

Successful candidates will be required to clear probity checks including National Criminal History Record Check and Working with Children Check (where relevant to the role).
