About the role

This is a new role reporting to the Safeguarding Incident Manager you will undertake data analysis and prepare reports relating to high risk client incidents across the Disability and Mental Health directorate. 

You will also provide administrative and executive support to Director, Safeguarding by collaborating and supporting safeguarding initiatives and projects within National Safeguarding Unit.

This is a permanent full time position, location is flexible.

Key Responsibilities

  • Provide timely, effective diary management by prioritising and organising meetings, with internal and external stakeholders for the Director, Safeguarding
  • Review incoming correspondence, prepare and send outgoing correspondence
  • Assist Director, Safeguarding and NSU SLT to coordinate and prepare agendas, minutes, action lists and records of meetings
  • Arrange travel and accommodation for Director, Safeguarding and reconciliation of monthly expense incurred
  • Maintain a current knowledge of changes to legislation, practice standards and customer requirements
  • Keep abreast of best practice and emerging trends and interpretations of legislative/regulatory requirements that may impact LWB’s business and quality assurance strategies
  • Contribute to the preparation, development, and delivery of NSU projects and BAU initiatives
  • Provide direct and indirect support for Client Services staff to access systems, create records and access data
  • Maintain SharePoint sites and other tools for the NSU, including functionality for calendars, message boards, and document repositories
  • Coordinate Client Death Review process and panels
  • Coordinate and lead small NSU projects and BAU initiatives
  • Contribute to the development and maintenance of the LWB intranet
  • Complete data input, analysis and reporting, compiling information from existing systems, Client Services and other sources
  • Use data to identify and report systemic issues that relate to quality and compliance
  • Coordinate and manage the placement of documents and files onto the intranet and other core systems.

Skills & Experience

  • Demonstrated experience in project coordination and/or management experience
  • Demonstrated experience in incident management review
  • Demonstrated experience working with data structures of MS Project Online
  • Knowledge of project methodologies and ‘best practice’ within a structured environment such as PRINCE2, or similar
  • Strong interpersonal skills with ability to build positive working relationships
  • Well-developed problem-solving skills with strong analytical ability and be able to identify, recommend and implement process improvements
  • Ability to handle sensitive material, demonstrates a high level of confidentiality, and operates with integrity and honesty
  • Demonstrated experience in managing competing priorities and delivering outcomes within agreed timeframes and quality standards
  • The ability to influence and work collaboratively with a range of stakeholders including peers, employees and external organisations
  • An attention to detail, accuracy and consistency along with excellent written and verbal communication skills, to include report generation and presenting in public forums
  • Advanced skills in the Microsoft Office suite of programs
