Context

Multicultural Centre for Women’s Health (MCWH) is a national, community-based organisation which is led by and for women from migrant and refugee backgrounds. We advocate and educate to strengthen the health, wellbeing, safety and leadership of migrant and refugee women in Australia.

MCWH works together with migrant and refugee women, community organisations, health practitioners, employers, communities and governments to build and share knowledge, achieve equity and improve health and wellbeing for migrant and refugee women.

Position Objectives

MCWH’s vision is for migrant and refugee women to be free from all forms of discrimination, to have autonomy over their lives, and experience health equity, well-being and safety in society.

For this vision to be achieved, MCWH needs to be led and managed in a sustainable way.

The purpose of the Payroll and Administration officer role is to provide financial and office admin support to the entire organisation and the stakeholders of the business to ensure the organisation is running in a sustainable, impactful and efficient manner.

Organisational Relationships

Internal

  • The Payroll and Administration Officer reports directly to the Operations Manager and is a member of the Operations Team.

External

  • Staff, casual, suppliers, vendors, IT, government, funders, contractors, lessor, sub tenant

Key Responsibilities

Payroll & administration duties

  • Process end to end fortnightly payroll and ensure accurate payroll transactions and payments
  • Process new employee contracts and calculate terminations
  • Maintain payroll records and employee data
  • Manage fortnightly payroll lodgement via STP including year-end reporting
  • Comply with all statutory obligations
  • Manage superannuation funds for employees, and quarterly lodgement and payment of superannuation returns
  • Manage leave entitlements, including long service leave
  • Respond to payroll queries from employees and government agencies e.g., Human Services for child support, parental leave and work cover, etc
  • Prepare and lodge Workers Compensation returns on a yearly basis
  • Review salary packaging reimbursement claims ensuring all required documents are valid and received
  • Reconcile Salary Packaging arrangements within prescribed ATO limits and provide current balance to staff on a fortnightly basis
  • Answer payroll enquiries, including advice on awards, policies, etc
  • Maintain written payroll processing procedures.
  • Assist with the review, maintenance and implementation of upgrades to the payroll system
  • Prepare the payroll reconciliation for month end reporting
  • Assist with staff onboarding and offboarding

Administration and office support

  • Manage and facilitate Finance, Admin and ICT inbox enquiries
  • Provide administrative support to Operations Team
  • Maintaining a clean and organised / effective office / amenities spaces
  • Assist with half yearly stock count and reporting
  • Office duties

Financial Tasks

  • Manage accounts payable, including data entry of invoices, credit notes, adjustments, reconciliation and ensuring payments are correct and on time
  • Process accounts receivable, cash collection and debtor management
  • Review and process employee reimbursements
  • Manage all suppliers and ensure correct banking details are recorded in the system
  • Manage and process credit reference check
  • Maintain all relevant insurance policies
  • Reconcile bank reconciliation and credit card on weekly basis
  • Assist month end closing

Selection Criteria

Essential

  • Technical Requirements & Qualifications
    • Experience in a payroll role (preferably with Xero)
    • Experience in office administration tasks
    • Proven skills in using Word, Excel, Outlook and PowerPoint
    • Highly developed customer service skills
    • Excellent communication and interpersonal skills
    • Demonstrated understanding of administrative functions and office practices
    • Ability to work independently as well as co-operatively

Special Requirements

  • MCWH operates according to a hybrid home/office working model

Salary & Conditions

  • Part time position, 30.4 hours per week
  • SCHADS Award level 5, pay point 1-3, depending on experience
  • Salary packaging is available
  • Additional leave entitlement
    • 5 weeks annual leave for up to 5 years’ service and 6 weeks thereafter
    • 3 days ex-gratia leave between Christmas and New Years Day
    • Additional personal leave entitlements

Period of Appointment

This is a part time, two-year appointment
