ABOUT THE ROLE:

We are seeking a motivated and enthusiastic Office Assistant to join our team at the NORTH Foundation. You will be part of a small, high-performing team of skilled operators, working across the NORTH Foundation.

This is an excellent opportunity for someone starting their career or looking for a change of pace. The ideal candidate will be eager to support colleagues across a range of areas including office administration, welcoming and settling in new staff, IT support, work health and safety, and the day-to-day running of the office.

As the Office Assistant, you will play a pivotal role in ensuring the smooth and efficient running of our office. Your primary responsibilities will be maintaining office supplies and inventory, ensuring that all necessary materials are readily available for smooth office operations. You will perform data entry and update records and databases accurately, supporting other departments with administrative tasks as needed. Handling confidential information with discretion and maintaining office security procedures are essential aspects of this role.

You will be responsible for maintaining the office area and meeting rooms, welcoming visitors, and handling incoming and outgoing calls and correspondence.

KEY RESPONSIBiLITIES:

  • Ensure smooth daily office operations by maintaining the reception area, kitchen and meeting rooms.
  • Manage office and kitchen supplies and inventory.
  • Manage the reception area, including welcoming visitors.
  • Manage incoming calls and correspondence, checking PO box, banking donations and sending mail out.
  • Organise meetings, schedule appointments, and assist with event planning and coordination for functions.
  • Assist with the preparation of reports, presentations, and correspondence.
  • Manage office files and records, ensuring they are organised and up to date.
  • Support other departments with administrative tasks as needed.
  • Assist with onboarding activities for new employees.
  • Handle confidential information with discretion and maintain office security procedures.
  • Be the key point of contact for office contractors e.g. builders, cleaners, IT etc.
  • Perform other general office duties, as required.

ABOUT YOU:

  • You must have a high school diploma or equivalent. Additional qualifications as an Office Assistant or in another relevant administrative role is a plus.
  • You need to be proficient in the Microsoft Office suite and Outlook.
  • You must possess excellent organisational and time-management skills.
  • Strong written and verbal communication skills are essential for this role.
  • You should have the ability to handle confidential information with discretion.
  • Attention to detail and problem-solving skills are crucial for success in this position.

APPOINTMENT

This is a permanent part-time role; 3 days per week with an opportunity to grow.

The applicant must be able to work 9am to 5pm Monday, Wednesday and Thursday every week in our St Leonard’s office. These days are flexible depending on the right candidate.
