Aim of the Service:
North Queensland Domestic Resource Service (NQDVRS) provides a holistic response to people affected by domestic and family violence. Our vision is to create a community that is free from domestic and family violence.
Purpose of the position:
To oversee and provide administrative support to the organisation and to monitor and assist compliance with standards and requirements.
Organisational Relationships:
The Finance and Human Resource Manager has responsibility for the Administration and Compliance Officer on a day-to-day basis and the position is accountable to the Chief Executive Officer and through this person to the Management Committee.
Appointment:
The Administration and Compliance Officer is appointed in a full-time basis and is expected to work across the organisation as required. NOTE: The organisation is happy to negotiate permanent part-time hours of no less than 30 hours per week for the right candidate.
Key Requirements:
- Tertiary qualification in business administration or suitable equivalent or a minimum 3 years’ experience working in a similar administration or compliance role.
- Ability to work independently with minimal supervision and within a team to provide a flexible and responsive services.
- An understanding of Human Services Quality Framework is desirable.
- An understanding of the gendered analysis of domestic and family violence is desirable.
- Current QLD C Class Driver’s License - Essential
- Working knowledge of Microsoft systems including Outlook, Word, Excel, PowerPoint and ability to adapt to new systems.
- Excellent verbal, written and interpersonal communication skills.
- High levels of attention to detail and the ability to complete and prepare complex documents.
- Well-developed prioritisation and time management skills including the ability to identify, plan and organise work to meet deadlines.

Roles and Responsibilities:
- Provide administrative duties as required which may include:
- Support to the Leadership Team and Management Committee meetings.
- Respond to enquiries, answering calls, processing of mail and disseminating messages.
- Update and maintain forms and templates.
- Preparing letters, reports and documents.
- Collating data for reporting.
- Booking of maintenance and service of office equipment.
- Room bookings, office equipment bookings and vehicle bookings as requested.
- Archiving documents and other files, maintaining electronic document systems.
- Provide IT support, including initial support and contacting IT service provider.
- Organising staff training and travel arrangements for staff.
- Monitor compliance with standards and requirements and provide quality assurance.
- Maintain and update compliance registers.
- Review and update systems and processes to support compliance.
- Monitor and attend to quality matters relating to Policy and Procedure documents.
- Support the organisation’s human resource recruitment requirements and assist with recruitment process, induction, and documentation.
- Assist with preparing and meeting the requirements of the Human Service Quality Framework and Associated Audits.
- Assist in the producing the organisation’s Annual Report.
- Support the organisation meeting service obligations under the Workplace Health and Safety Act.
- Support fundraising activities and assist with applications for grant funding.
- Participate, chair and organise staff meetings along with other staff as required.
- As part of a team, ensure that the public spaces of the organisation are safe, clean and maintained to high standards at all times.
- Participate in regular formal and informal supervision and staff appraisals with the Finance and Human Resource Manager.
- Participate in professional development, as approved, to ensure knowledge and skills are up to date and relevant to the not-for-profit sector.
- Provide a service that is culturally appropriate, respectful and meets client needs.
- Work in a professional, collaborative and respectful way with the other team members.
- Work within the Policy and Procedures of NQDVRS and follow all workplace health and safety requirements and maintain awareness of personal safety.
- Undertake any other duties as required to ensure the smooth running of the service.
