Project and Administrative Assistant, Professional Development Department

The New South Wales Bar Association is seeking a high performing Project and Administrative Assistant to join our Professional Development team. The Project and Administrative Assistant provides high level support to the department to ensure the successful delivery of the Bar Association’s educational programs, which include the Bar Exams, Bar Practice Course (BPC – training program for new barristers) and Reading Program (initial 12 month training period), and Continuing Professional Development Seminars (CPDs). The Project and Administrative Assistant has direct contact with lawyers going through the process of becoming a barrister, barristers, and members of the judiciary.

Responsibilities include:

  1. Dealing with all initial queries from candidates and other stakeholders regarding the Bar Exams, BPC and Reading Program, CPDs and other matters related to coming to the Bar.
  2. Coordination of the Bar Exams from registration to result release, including:
    1. Developing schedules, coordinating and maintaining exam materials and other relevant documentation;
    2. Managing logistics of the Online Bar Exams, including lectures/tutorials, distance candidates, provisional candidates and Viva Voce; and
    3. Managing ExamSoft processes and procedures.
  3. Undertaking all of the daily administration required for the BPC and Reading Program, including:
    1. Managing correspondence of registrations;
    2. Maintaining individual records and electronic data for readers;
    3. Coordinating volunteer witnesses; and
    4. Monitoring Reader’s progress and processing approvals for completion of the Readers Program.
  4. Coordinating the Annual University Open Day with the support of the Director.
  5. Assisting with the Professional Standards Council audit with regards to barrister’s compliance with CPD points.
  6. Maintaining electronic files on Content Manager, excel and other internal systems.
  7. Contributing to the ongoing review, development and implementation of changes to improve the productivity and efficiency of the Department.
  8. Other duties as required by the Executive Director and the Director, Professional Development.

Work outside core standard hours will be necessary on occasion. This position reports to the Director, Professional Development.

The successful applicant will have the following essential skills and aptitudes:

  • Excellent IT literacy in standard office software packages with advanced data management, excel and word skills.
  • Experience dealing with exams and facilitating exam results would be highly regarded.
  • Excellent oral and written communication skills.
  • Excellent attention to detail and accuracy.
  • Excellent time management skills, with a proven ability to prioritise tasks and maintain an ordered working environment.
  • Ability to cope calmly and effectively with conflicting demands and tight deadlines.
  • Ability to use initiative and maintain a professional work ethic.
  • Proven ability to work in a small team environment with minimal supervision.
  • Have a basic understanding of the role of the Bar, or an ability to quickly acquire an understanding of the profession.

The salary range for this role is upwards from $65k depending on experience.
