One Small Step is a profit-for-purpose climate tech startup based in Melbourne, Australia. Our mission is to use behavioural science to help millions of people reduce their carbon footprints and adopt an environmentally sustainable lifestyle. To keep global warming under 2 degrees, we know people with high personal carbon footprints must make changes to their diets, modes of transport and energy, and reduce their overall resource consumption. Our direct-to-consumer mobile application uses behavioural science to help solve this problem. The free One Small Step app is like a fitness-style environmental sustainability coach, making it easy and rewarding for users to rapidly reduce their carbon footprints through lifestyle changes. The app has already been featured by Apple as its App of the Day, with 30,000 downloads, low user acquisition costs and competitive retention. We have an ambitious vision to build a global user base as big as FitBit’s with a commensurate impact on global carbon emissions. Our focus now is on rapidly scaling our active user base, using evidence-based lean experiments across our entire funnel to deliver real value to our users, with a planned launch in the US by the end of this year. Backed by prominent Australian impact investors, One Small Step is at an exciting post-seed stage where we now have the resources, capability, support, and product quality to achieve something truly ground-breaking.

About the job:

This role is for a virtual assistant to support the CEO of One Small Step, Lily Dempster, with about 50% of the role involving managing her inbox and appointments, and the other 50% on miscellaneous business administration tasks and operations.

This job is all about supporting the CEO. This means if you're interested in mission-driven entrepreneurship, business development, investor relations, startups, environmental sustainability, behavioural design, software development or digital community building, you will get exposure to a large array of learning opportunities, people and insights by virtue of this position. For a person who performs excellently in the role, there will likely be opportunities for significant career advancement within the business in the next 12 months.

This job is ideal if you are an EA who already manages multiple clients or if you are a highly conscientious and supportive person in need of up to 10 hours of additional work each week, which you can complete autonomously in your own time, for example a stay-at-home parent or current graduate student (but whatever phase or stage of life you're in, you are warmly encouraged to apply).

Job Description:

  • Processing the CEO’s inbox and responding to emails on her behalf
  • Scheduling CEO meetings and appointments
  • Assisting the CEO with contact relationship management, following up with people via email, and responding to requests from external stakeholders
  • Managing a wide variety of business administration tasks that the CEO delegates, for example purchasing or cancelling third party cloud subscriptions, calling the bank, filling out online forms, researching and reporting on various topics
  • From time-to-time:
    • Proof reading and copywriting for a wide array of communications materials
    • Assisting with personal tasks like booking personal appointments, flights, accommodation

Skills required:

  • You can operate comfortably and consistently at the level of an Executive Assistant, as set out in this article: David Finkel, The 4 Kinds of Personal Assistant, Inc.com
  • You enjoy being highly organised
  • Intelligent and conscientious
  • Demonstrated strong written communication skills (this should include copywriting and professional experience doing any of the following: drafting formal correspondence, blog posts, media releases, research reports or customer service email pro forma)
  • You identify inefficient processes and then design, create, and improve systems to increase efficiency, automate tasks where possible to reduce costs and speed up task completions
  • Practiced in the use of online task management systems like Asana
  • You are highly efficient and work quickly
  • You take initiative to solve problems and create solutions
  • You are a proactive communicator
  • You have strong interpersonal skills, good judgment and high emotional intelligence
  • You care about environmental sustainability and are interested in climate change mitigation.

Desired but not essential:

  • Experience in a customer service role
  • 2 years+ experience working as an executive assistant, executive officer, office manager or equivalent - helping an executive staff member manage their inbox, meetings, appointments and daily schedule
  • Experience working in a startup
  • 1+ years of experience working in project management
  • Experience using eDM and mail merge tools (list segmentation, tags, email A/B tests & templates).
