About the role

We are seeking a motivated, organised and detail-oriented individual to join our team as a Training & Administration Officer. In this role, you will play a crucial part in the planning, coordination, and execution of training events, as well as providing essential secretarial and administrative support for the policy and projects teams, contributing to the growth and success of our organisation. This is an excellent opportunity for a passionate individual to gain valuable experience in training, event management and administration work within the non-profit sector.

What you'll be doing

Under the direction of the Programs and Policy Manager:

  • Coordinate the planning, running and logistics of internal and external training events, workshops, and seminars/webinars - including invitations, speaker management, materials, and venue setup (both online and in-person events).
  • Manage all pre and post event follow up for attendees and organisations, including ticketing of events, correspondence with organisations, stakeholders and participants, certificates of attendance, survey analysis/distribution whilst maintaining accurate event records.
  • Handle online conference platforms and event technologies to ensure smooth training and event operation - This will include platforms such as Microsoft Teams, Zoom, Humanitix, Eventbrite etc.
  • Develop and manage promotional materials and marketing strategies with the Marketing and Communications team.
  • Provide administrative support for sector network and communities of practice meetings, including scheduling, minute-taking, development of agendas and PowerPoints for management, as well as any follow-up on action items.
  • Deliver daily office administration support for the Policy and Programs team.
  • Manage the PCQ generic email inboxes, phone calls and enquiries.
  • Demonstrate a strong commitment to a quality culture, implementing standards of excellence and a continuous improvement focus.
  • Deliver on other ad hoc support as required within the scope of the relevant award.

What we're looking for

  • Strong organisational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to multitask and thrive in a fast-paced environment.
  • Ability to work effectively both independently and as part of a team.
  • Proficiency in Microsoft Office Suite and online conference platforms (at a minimum: Microsoft Suite, Microsoft Teams, Microsoft Forms, Zoom, Humanitix, Eventbrite, Survey Monkey).
  • Demonstrated passion for training and commitment to our organisation's mission.
  • Previous experience in training, event planning or administration is a plus.
  • Willingness to learn new software platforms to manage education and training.

  • National Police Check
  • Queensland Blue Card
  • Current Queensland Driver’s License
  • Right to work in Australia

2024 has been a growth year for Palliative Care Queensland. This year, we have expanded our Ambulance Wish QLD program from two ambulances covering Southeast Qld and Townsville to four ambulances with two new hubs in the Sunshine Coast and Toowoomba. Our LEARN program delivering community education and information is also growing. We have launched our new website as part of a national rebrand in late 2023 and have just launched an exciting consumer communications project – ‘The Cassette’. Our ambition at Palliative Care Queensland, is to continue to see our programs expand across the state, along side our peak advocacy work
