Position Overview

PHAA is looking for an experienced Events Officer who will assist PHAAs in-house Events Team in delivering PHAA’s national and international events from end to end on a range of public health topics. Our ideal candidate will have at least 3 years’ experience in the events industry, and qualifications in events management or similar. This will include the ability to work autonomously and as part of a team, build and maintain effective working relationships with all stakeholders involved in the events, and working well under pressure, with the ability to manage competing timelines.

This is an exciting opportunity to be part of an innovative team, with the ability to lead coordination on national conferences, and work closely with the team to deliver 5-6 hybrid and virtual conferences each year.

Initially the position is full-time, however part-time may be considered. Salary will be negotiated dependent on relevant experience and expertise.

Reporting

This position reports to the PHAA Events & Capacity Building Manager.

Responsibilities and Duties

  • Leading and/or assisting in the coordination of PHAA national and international conferences, in hybrid and virtual formats,
  • Coordinate event related activities in a timely manner, taking the initiative to complete activities within the required timeframes, with the ability to work well under pressure;
  • Build and maintain positive relationships with stakeholders, including event committees, sponsors, exhibitors and speakers;
  • Coordinate/assist in building virtual event portals, including video editing sessions;
  • Coordinate event committees, including minute taking, reporting;
  • Provide overall support to the PHAA Events Team in delivering events, including data entry, responding to delegate enquiries, including registration, accommodation, abstract and payments;
  • Help manage events through Events Management Software, including creating registration forms, websites and processing payments;
  • Assist with developing marketing material for events such as flyers, sponsorship and exhibiting brochures, banners etc;
  • Engage with PHAA staff to ensure synergies exist between the events agenda, activities and the broader work of PHAA;
  • Fulfil broader duties as required within the PHAA office and reasonably directed by the CEO.

Selection Criteria

Applicants are asked to address the following selection criteria, 100 words or less, in applying for the role. Applications that do not address the selection criteria will not be considered.

  • At least 3 years’ experience working in an events coordination or similar role, including qualifications in events management or a similar field;
  • Excellent communication, presentation and interpersonal skills including being a committed and enthusiastic team player;
  • High-level computer skills including Microsoft Office (Word, Excel) and experience administrating data in CRM systems; and experience in data entry, with exceptional attention to detail; including experience in Events Management Software, such as EventsAIR;
  • Ability to show initiative, with exceptional attention to detail, and excellent time management and prioritisation skills; and
  • Ability to work out of hours and travel interstate.

Preferred but not essential requirements:

  • Experience in delivering virtual events, including building/using virtual event portals;
  • Experience working with inDesign or similar program;
  • Experience working with a range of software’s, such as video editing software, CRM’s, zoom etc
