  • Hours: Full time with consideration for part-time available. Flexibility in working outside standard office hours will occasionally be required.

  • Term of employment: Permanent position, with 3-month probationary period
  • Remuneration: Full time salary of $85,982.20 per annum, plus 11.5% superannuation and 17.5% holiday leave loading plus Christmas-New Years as additional paid leave on top of (QCC Level 4.1)

The Role

QCC is looking for a super-organised support legend – someone whose diverse experience and skills in administration will be pivotal in helping us meet our ambitious goals over the next few years.

You have exceptional attention to detail, and your expertise lies in administering and optimising office systems. You are a team player who thrives in keeping everything running smoothly, with a focus on effective communication, compliance, and record-keeping. You are comfortable taking on responsibility, working independently, and managing a variety of tasks across multiple areas. Your ability to bring order and structure to an organisation that thrives on the energy of volunteers and member groups will be crucial as we expand our operations.

The Administration Assistant role is key in supporting the Operation Managers in the implementation of our 2024-2026 Strategic Plan, with a specific focus on the following three strategic areas:

  • Moving beyond colonial practices
  • Bringing people together to create change
  • Aligning our organisation for growth and change

Responsibilities

  • Office Management & IT: Oversee office operations, including managing IT systems, inventory, storage, and supplier contracts (e.g., insurance, IT, office services).
  • Support for Strategic Initiatives: Contribute to the Reconciliation Action Plan, assist with event organisation, and support communications and the organisational review process.
  • Good Governance: Support the Operations Manager with the organisational policy suite to ensure policy’s stay up to date and are well understood by the staff. Managing and tracking the progress of cultural competence training licences for new staff and board members, and supporting the preparation of the AGM and important organisational meetings throughout the year.
  • Team coordination: Assist with management of organisational diaries and scheduling, ensuring senior staff can focus on strategic initiatives while day-to-day operations are handled seamlessly.
  • Event & Fundraising Support: Event planning and logistics, particularly around key fundraising events, QCC conferences and movement meetings.
  • Member Engagement: Assist with Annual Membership Management and provide clear communication and support to members to foster strong relationships.
  • Financial Administration & Human Resources: Engage in basic financial administration, including tracking receipts, handling subscription invoices, and providing support for fundraising-related financial documentation, and support the processing of weekly approvals and payments. Support HR functions, including assisting with onboarding and reviewing and updating processes for organisational effectiveness.

Selection Criteria

  • Experience: Proven experience in administration and/or program support, with event organisation experience (logistics and some promotion).
  • Multicultural Competence: Ability to understand, appreciate, and respectfully engage with people from a variety of cultures and belief systems.
  • Team-Oriented & Detail-Driven: Demonstrated ability to work in a team environment, maintain high attention to detail, meet deadlines, and engage with a diverse range of people.
  • Independent & Proactive: Comfortable working autonomously and taking initiative to improve processes and systems.
  • Communication Skills: Strong interpersonal and communication skills, with the ability to consult, negotiate, and liaise effectively with diverse stakeholders. Experience with the Google Suite, Nation Builder, Canva and social media platforms is desirable.
  • Not-for-Profit Experience: Experience in the not-for-profit sector is advantageous but not essential.
