About the role and you

RFDS Victoria are now accepting applications for two Executive Assistants to support and play a key role in ensuring the day to day smooth operation of the Marketing & Fundraising, Primary Health Care Teams, Corporate Services & People Culture divisions. The successful applicant will be expected to support two General Managers in relation to their diary management, travel requirements and preparation for meetings and you will support the wider teams with general administrative duties.

A high degree of accuracy, responsibility and confidentiality is required in carrying out assigned duties. The incumbent must handle confidential information appropriately. A high level of time management skill is required, with the ability to prioritise competing deadlines.

This is a busy and varied role which requires someone with a flexible attitude. The role requires a self-starter with initiative and someone with both excellent people and organisational skills.

Key duties and Responsibilities

  • Coordinate and manage all aspects associated with schedules, appointments and bookings for the General Managers
  • Regular liaison with EA to CE
  • Proactively manage both emails and letters received
  • Ensure timely submission by the GM of papers due
  • Prepare draft correspondence on a wide range of issues as required
  • Project administration support as required
  • Ensure invoices and credit card statements are lodged in a timely manner
  • Assist with daily mail opening
  • Co-ordinate relevant staff responses and/or input into projects, programs, reports, correspondence and corporate issues
  • Prepare agendas and minutes of various internal and external meetings convened or attended by the General Manager
  • Provide support to the Operational Management Team as required
  • Manage departmental overflow phone calls

Key selection criteria

  • Previous experience working as an Executive Assistance
  • Excellent phone manner
  • Excellent communication skills
  • A high level of accuracy and confidentiality
  • Ability to adapt to a changing workload
  • Solid Microsoft Office skills including Teams
  • Strong interpersonal & verbal communication skills
  • Highly organised
  • Friendly, open and enthusiastic disposition
  • Highly motivated, ethical and moral
