About the role

We are looking for an extraordinary person that embodies our commitment to enlightened hospitality and to ensure our business home, The White House operates as an inspirational hub.

Our tenants include Small Giants Academy, Dumbo Feather magazine, The Sociable Weaver Group, First Australian Capital and Regen Melbourne.

To be successful in this role, you will be able to work autonomously but also as part of a team, organised yet flexible, resilient, and able to manage competing and changing priorities. You will be supported by our Operations team.

Key Responsibilities:

  • Reception duties e.g., phone calls, mail distribution and welcoming guests to the building
  • Email management, actioning all emails and correspondence
  • Coordinating bookings for meeting rooms/ballroom as well as external venue hire requests
  • Assist in event planning and provide onsite support
  • Rental property management liaising with real estate agents, contractors for maintenance and manage Air BnB bookings
  • Manage and coordinating building maintenance and contractors, including cleaners
  • Ensuring stock levels of office and building supplies are maintained
  • Preparing and editing documents
  • Arranging travel and hotel bookings
  • Any ad hoc duties that may arise

The Candidate

To be successful in this role, you should have:

  • A warm, empathetic and positive nature
  • Experience in office administration
  • Very strong written and in person communications skills
  • A high level of organisational and time management skills, with proven ability to multitask, and work well under pressure
  • Self-motivated, taking ownership of tasks and take pride in producing work to the highest possible standards
  • Ability to work within a team and possess a 'can do' positive attitude
  • Willingness to perform a wide range of tasks
  • A valid driver’s license and vehicle
