Position Description

Soils for Life is Australia’s leading non-profit organisation supporting Australian farmers to regenerate soils and landscapes to build natural and social capital and transform food systems. We are seeking an Operations Coordinator to oversee a range of operational and administrative functions in order to ensure an efficient, smooth-functioning and constantly improving organisation. The successful candidate will be passionate about making a positive impact in the world. They will be a great team player, an exceptional communicator, and highly proactive, independent, reliable, efficient and organised.

The Operations Coordinator will be an integral member of the Soils for Life team, reporting to the CEO but working closely with the Management Team and all staff. The role involves 20-30 hours per week (negotiable) and salary is negotiable dependent on experience and suitability for the role.

Specific Tasks

  1. Handling complete segments of SFL operational and administrative work without supervision.
  2. Leading and coordinating the development, management, implementation and maintenance of organisational procedures and policies.
  3. Managing a range of administrative functions, including general office management and filing/knowledge management systems.
  4. Overseeing finance and budgeting processes and policies, including invoices, bills, suppliers and payroll, and liaising with and providing information to external accountants.
  5. Managing office IT and other systems and liaising with external providers.
  6. Organising appointments and travel arrangements, including managing the CEO’s diary.
  7. Monitoring the organisational email inbox, screening telephone calls, fielding inquires and requests and escalating urgent matters for the CEO's attention.
  8. Drafting, proofreading and editing of reports, correspondence, presentations and other documents as needed.
  9. Supporting meetings including at times taking minutes.
  10. Coordinating the organisation of events as required.
  11. Other tasks as directed by the CEO.

Selection criteria

  1. Demonstrated ability and experience to deliver operational and administrative functions as outlined above, including managing budgets and financial reporting.
  2. Strong interpersonal, communication and collaborative skills and the ability to support other staff.
  3. Excellent organisational skills.
  4. Ability to work autonomously, employ initiative to find solutions, prioritise and exercise discretion.
  5. Excellent capability with IT systems including Microsoft 365, and the ability to adopt and support others to adopt new systems over time.
  6. Ability to liaise at an executive level and to work under pressure.
  7. Ability to contribute to a positive, inclusive, safe and healthy workplace and organisational culture.

Soils for Life acts as a champion and knowledge broker of regenerative agriculture by:

  1. Supporting a strong evidence base around soil and landscape regeneration in agricultural systems by telling positive, holistic and evidence-based stories about Australian farmers who are regenerating soils and landscapes
  2. Supporting producers to transition to regenerative agricultural practices, including by actively supporting the establishment of new and existing communities of practice
  3. Amplifying the voices of producers we work with, and promoting regenerative perspectives, within policy and research communities

We have trusted relationships with an extensive network of innovators in regenerative farming, and amplifying producers’ voices and perspectives is key to everything we do. We are a small and agile team that spans multiple disciplines including soil science, ecology, agronomy, agro-ecology, finance and social science. Our holistic approach aims to integrate ecological, economic and social aspects of food system transformation.

Since our founding by the late Major-General Michael Jeffery, we have delivered the most extensive body of case studies on regenerative farming in Australia, along with on-ground outreach such as field days and extensive online engagement. Our new strategy builds on this legacy with a new phase of work focused on helping accelerated adoption of regenerative agricultural practices by the next cohort of Australian farmers.

Our office is located in Canberra, but we deliver projects Australia-wide and employ staff in multiple states.
