Location:

This role is based in Sydney. At least 1-2 days per week will be working in-office, in-person with the CEO.

This full-time hybrid role combines work-from-home with in-person work at a designated office in the Sydney CBD (currently Fishburner’s at Wynyard).

Occasional travel for short periods may be required.

Hours:

Full-time standard hours are 38 per week. The role may require some flexibility in specific worked days to cater to the needs of our supporters and engagement events.

The role:

Our work relies on philanthropy built through strong and authentic relationships with our supporters, keeping them up to date with research breakthroughs and the latest developments in the Australian Antarctic Program. This newly created position assisting the CEO will be critical to developing and maintaining a genuine connection with our supporters and stakeholders.

Duties include:

  • Assisting the CEO in coordinating Foundation activities: meetings, proposals, correspondence, stakeholder liaison, and supporter welcomes.
  • Diary management and meeting liaison for the CEO.
  • Acting as a key point of contact for the Foundation over email, phone or in person.
  • Maintaining a variety of databases, particularly the donor database.
  • Attending, organising, and minute-taking of key meetings.
  • Carrying out basic financial admin tasks such as donation processing, invoices, payments, and expenses.
  • Welcoming supporters and managing communication with stakeholders where required, i.e., acknowledging interest, following up on enquiries, sending thank you letters.
  • Project managing a variety of events, grant rounds, and communication initiatives.
  • Assisting with the planning and preparation of materials and communication packages and projects.

Competencies required:

  • Proven experience using basic databases and Office applications.
  • Task-oriented with excellent time management.
  • Strong project management capability for small to medium-sized events / activations and other assignments associated with attracting philanthropic support.
  • Confidence in creating, posting, and monitoring comms channels.
  • The ability to communicate clearly and with precision.
  • Excellent writing skills and attention to detail.
  • An engaging and mature manner.
  • An established track record in researching people, concepts and topic areas.
  • Experience in production of reports, proposals, diary management and basic office finance and admin skills such as invoice raising and the management of expenses.
  • A continuous learning mindset: a willingness to deepen one’s knowledge of Antarctica, climate disruption and the science of our natural environment.

About you

You are task-oriented and seek a role utilising your data administration, relationship management and project management skills. Your friendly manner and excellent interpersonal skills will shine when communicating with supporters of the Foundation and stakeholders in the broader Australian Antarctic Program. You will be responsible for a diverse range of tasks.

Ideally, you will already be familiar with the Salesforce platform and with digital tools and technologies available to support your work: SEO, digital comms, website maintenance, paid search and email marketing. In addition, you will possess competency in the MS suite – Word, Excel, Outlook and Powerpoint.

You are curious with excellent research skills. You are empathetic and understand what drives a person with deep interest to support a cause close to their heart. You have a service mindset and want to facilitate the supporter journeys to deepen this interest and ongoing commitment.
