The Shepherd Centre (TSC) is a highly regarded not-for-profit, providing specialised programs for children with hearing loss and their families. Our programs meet the needs of children of all ages; from our world-leading early intervention system for babies and toddlers, through to our mentoring program ‘Hear for You’ for school-aged children and teenagers. We have been enabling children with hearing loss to develop their listening and spoken language, literacy and social skills for over 50 years, ensuring they can go on to achieve their full potential in life. We currently support over 700 families all over Australia with telehealth for rural and regional areas and 7 in-person centres in NSW and ACT. Our global platform HearHub, supports health professionals working with children with hearing loss all over the world.

About the Role

We are entering an exciting new chapter at TSC, as we grow and expand our services to even more children and families and we have a number of exciting projects happening right across the organisation.

In this new role, you will take responsibility for our clinical administration team, which provides valuable support to our clinicians, centre managers and families, across 5 of our centres throughout Sydney and the ACT. You will work closely with our management teams, to oversee the delivery of effective and efficient clinical administrative support, across all TSC centres and program areas.

This is a permanent, part-time role, which supports flexible work arrangements and some working from home days. Actual working days and hours will be negotiated with the successful candidate, but we envisage this to be approximately 30 hours per week, across 4-5 days. The role is based at our Newtown Head Office, which is located right near Macdonaldtown train station and has some onsite parking available.

Key responsibilities include, but are not limited to:

  • Ongoing management and direction of the clinical administration team
  • Providing mentorship, guidance and training to all of your team members
  • Overseeing flow and input of data to ensure accurate database records
  • Communicating with families and processing new enrolments and appointments
  • Organising and developing streamlined, integrated office systems and procedures
  • Establishing good internal and external links and managing critical colleague and stakeholder relationships
  • General office administration and project coordination

About You

  • Previous and proven experience in leading, training and coaching administrative staff, preferably in a clinical setting
  • Able to perform a wide range of administrative tasks while managing competing priorities and work flows
  • Can determine priorities for others, allocate tasks and monitor work performance of staff to achieve work objectives
  • A problem solver and strong organiser, who is able to develop integrated business processes that support ongoing administrative functions
  • Demonstrated ability to work collaboratively within an interdisciplinary team environment
  • Excellent written and verbal communication skills
  • Proven customer service skills and commitment to teamwork
  • Strong digital skills and open to adopting and championing new digital systems
  • Ability and willingness to work in a busy, fast-paced environment
  • A current Working With Children Check and NDIS Worker Check or willingness to obtain these
  • Full working rights to work in Australia
