An opportunity is now available for a highly motivated and dynamic individual to work within one of Australia’s largest family owned investment groups with a diverse range of business and non-profit interests.

The primary focus is to support the Principal, a well-known philanthropist, committed supporter of the arts, council member for various associations and publisher.

As a private family office, there is a small team doing amazing work in an intimate working environment, where respect and commitment to the work and each other, is essential.

The role

An Executive Assistant is required who brings a high degree of professionalism, a talent for knowing what is needed, phenomenal organisational skills, along with a passion for making a difference, and a clear understanding of how to best support this dynamic philanthropist with both business and family commitments, which are one and the same.

Essentially, you will provide executive and general support, across varied portfolios and business interests, both in Australia and overseas, as well as undertaking personal assistant functions.

Key responsibilities include:

  • Organising travel itineraries and arrangements anywhere around the globe
  • Extensive diary, email, and contact management
  • Organising meetings and events
  • Managing projects to investigate new technology, systems, and other efficiencies
  • Liaising with senior executives and associates
  • Managing personal errands and ad hoc requests
  • Property management and coordination of suppliers
  • Drafting and preparing correspondence, including presentations, documents, invitations, and briefing papers.

About you

If you are the person who makes things happen seamlessly, a multi-talented EA who is equal parts organisational guru, concierge, consummate professional, event coordinator, problem solver, travel agent, exceptional administrator with IT and systems know-how, who also does not mind personal shopping when required, then we would love to hear from you!

You will have come from a corporate services sector background that requires a high degree of polish, professionalism, and organisational skills.

Minimal supervision, self-sufficiency and ownership over your role will be a key driver for you along with an ability to be fluid in your work style.

Some skills we would love you to have include:

  • Exceptional interpersonal and communication skills
  • An eye for detail, affinity with design and creating bespoke events
  • Advanced computer literacy (ideally comfortable with both PC and Mac)
  • A high level of organisational and time management skills, with proven ability to multi-task, work well under pressure and prioritise tasks
  • Proactive and innovative approach with the ability to think ahead
  • Ability to work across cultures, with a wide variety of people and make them all feel welcome
  • Adaptability and resilience to cope with frequent transition between different environments and tasks
