ABOUT THE ROLE

We have an exciting opportunity for a tech savvy Executive Assistant based in Blackburn on a full-time basis.

Reporting to the Chief Secretary the role is responsible for providing a full range of executive support and requires a high level of confidentiality, professionalism, and stakeholder engagement.

The role would be best suited to a proactive, intuitive, experienced Executive Assistant who operates with urgency, efficiency and decisiveness.

Operating in an organised and expeditious manner within compressed deadlines, the key focus includes:

  • Coordinating diary management and systematically and proactively handling emails and correspondence.
  • Managing the fortnightly Executive Member Committee meetings. This includes sending out invitations and organising the agenda and preparing the minutes in a concise manner.
  • Liaising and coordinating with internal and external stakeholders regarding requests and matters for action, referral, or response.
  • Developing a range of reports, documents, presentations, agendas and minute taking.
  • Arranging conferences, meetings and catering.
  • Ensuring sound document control and record management of key information is maintained via filing and retrieval systems.
  • Managing administrative processes such as expenses, booking travel/accommodation and submitting IT and facilities requests.

ABOUT YOU

To be successful in this role, you will proven professional experience supporting senior leadership roles, and an ability to stay one step ahead of the workflow. While not essential, an understanding of the tenets of The Salvation Army would be favourable.

To be successful in the role you will have:

  • A Business qualification such as Certificate IV or Diploma in Business Administration desirable.
  • Excellent interpersonal communication skills, with the ability to build and maintain positive stakeholder relationships at the Executive level.
  • Strong technically capability with advanced knowledge of Microsoft Office Suite (Excel, Word, Outlook, and PowerPoint) and cloud-based services (OneDrive, Teams and SharePoint).
  • Excellent time management and ability to work on numerous tasks with multiple stakeholders simultaneously.
  • Ability to work decisively under pressure with a sense of urgency.
  • Strong attention to detail.
  • Ability to work autonomously.
