About the Role

Our wonderful Personnel department currently has a vacancy for an experienced and capable Executive Assistant to support the Head and Assistant Head of Officer Personnel. The Head of Officer Personnel is responsible for the support of The Salvation Army Officer workforce ie our pastors/ministers.

This permanent full time position will be based out of our Blackburn, Melbourne office.

Key Responsibilities:

  • Provide a full range of executive support to the Head of Officer Personnel and Assistant Head of Officer Personnel to ensure the effective management of their office, schedule and workload
  • Coordinate daily business by regularly reviewing diary, emails, meeting and travel demands, flagging priorities, management of responses and identifying and resolving potential issues
  • Develop a range of reports, documents and presentations to support the Head of Officer Personnel and the function
  • Support strategic working groups and committees, including but not limited to coordination of agenda, stakeholders engagement, minutes, monitoring of action items and escalation where required
  • Event coordination of various large and complex events and conferences for The Salvation Army) TSA officers including representing TSA and making decisions in venue bookings, travel arrangements, catering, invitations, resource preparation and overall event support
  • Draft and issue comprehensive high-level comms to officers, exec leads/internal and external stakeholders
  • Manage a range of financial processes including expenses, invoices etc
  • Undertake a range of general office administration to ensure the smooth running of the office

About You

  • Relevant Business qualifications such as Certificate IV or Diploma in Business Administration (desired)
  • Significant demonstrated equivalent experience, knowledge and skills
  • Sound presentation and communication skills (oral and written)
  • Advanced user of Microsoft Office suite
  • Demonstrated understanding of pastoral and church life culture
  • Experience in settings requiring a high level of confidentiality with the need for sound judgement, tact and discretion
