12 Buckets offers an exciting opportunity for an experienced office assistant to join their friendly, dynamic team on a permanent part-time basis of 20 hours over four days/week.

Through our one-to-one mentoring program, our volunteer mentors, help identify a child’s spark, and then, seek to strengthen and grow that spark to help foster resilience and confidence. The focus of the 12 Buckets program is to support the social and emotional wellbeing of these students which can lead to them having better engagement in their learning in the classroom and their connection within the school environment

The Position

The Office Assistant will work under the direction of the Operations Manager and will also support the Marketing, Media and Events Manager and the greater team. This role will also be the first point of contact for all 12 Buckets volunteers and will coordinate the volunteer onboarding process.

The Office Assistant will work with the Operations Manager to ensure programs run by 12 Buckets and the staff are properly resourced and supported in their day-to-day operations. Key areas of responsibility for the role include reviewing/ creating efficient processes that are well documented, being customer-focused (volunteers, external stakeholders, and the public) as well as fulfilling key compliance and risk assessment activities related to program delivery.

The Person

The successful applicant will be a motivated individual who strongly aligns with our values and will the hold the following:

Essential Criteria:

  1. Experience working in a multi-disciplinary team;
  2. Strong ability to work autonomously, take initiative when you identify work that needs to be completed and seek information from various resources;
  3. Strong administration skills, with at least 12 months in a similar Office Support role;
  4. Prior experience in using Microsoft Office 365 (Cloud Based) system, or a similar cloud-based program;
  5. Intermediate computer literacy/ technical knowledge;
  6. Planning and scheduling skills;
  7. Strong ability to review and/or create and document work systems to support efficient programs and office processes;
  8. Strong organisation skills;
  9. Stakeholder engagement skills;
  10. Experience using multiple social media platforms (personal/professional).

Desirable Criteria

  1. Experience working in a charity/not-for-profit organisation
  2. CRM management skills
  3. Prior experience in marketing and events support
  4. Experience using Canva and Hootsuite
  5. Basic-Intermediate knowledge of risk and compliance

To be considered for this role candidates must be able to work in Australia permanently. Candidates will also be required to complete a Police Clearance and Working with Children Check if shortlisted for the role. A valid WA driver's license and a roadworthy vehicle will also be needed for occasional travel between our programs/schools.
