About the role:

Supporting the Director, Children, Youth and Families, you will be undertaking a range of complex and confidential tasks with a focus on timely and professional administrative support and coordination of organisational tasks to ensure the efficient running of the directorate office.

Based in our Pitt St offices, this is a diverse, hands-on role which requires professionalism, interpersonal skills, energy and attention to detail. You will also assist the Executive Officer, to track and monitor directorate activities and assist with project management and directorate wide organisational tasks.  

Duties and responsibilities include:

  • Manage complex and changing diaries, including scheduling, negotiating appointments and meetings and organising associated and supporting documentation
  • Effectively and efficiently manage the logistical arrangements for key meetings including: agenda development, invitations, bookings, catering and room set up, with audio visual equipment where necessary, and post-meeting cleaning
  • Professional presentation and preparation of all documentation, communications (both written and verbal) and materials
  • Effectively manage high level, urgent and confidential matters and to pro-actively filter incoming and outgoing correspondence including email management and telephone calls according to priorities, preparing draft communications as required

Skills and experience:

  • Demonstrated Executive Assistant (or equivalent) experience including project coordination, working with boards and senior executives
  • High-level written and interpersonal communication skills and the ability to communicate and liaise effectively and sensitively at all levels, both internally and externally.
  • High level abilities in personal organisation, ability to focus on tasks, adapt existing skills to new situations, solve problems, show commitment to deliver on time.
  • Advanced computer skills (Advanced Excel, Sharepoint, PowerPoint, Word)
