About the opportunity

The Matilda Centre is seeking two Research Administration Officers to join their research teams.

The first role will work to support (primarily) the PREMISE NHMRC Centre of Research Excellence in Prevention and Early Intervention in Mental Illness and Substance Use, hosted at the Matilda Centre. You will work closely with the PREMISE and Matilda Centre Youth Advisory Board, reporting to Project Officer. In this role, you will be expected to facilitate administrative and operational support for Academic and Professional staff members.

Activities in this role will include travel and accommodation booking, tracking funding, invoices, and payments, overseeing reimbursements and other relevant administrative tasks. Further, you will also assist with the reporting requirements for Department of Health and Aged Care-funded projects and other administrative tasks for the PREMISE CRE, independently and autonomously communicating with internal and external stakeholders. The second role will report to the Senior Research Program Administrator. In this role, you will be required to provide general administrative support and specialised operational tasks to improve the experience of academic staff, and senior professional staff across the Matilda Centre.

As part of this role, you will be able to develop a career at the University of Sydney in the Research Admin field, completing a broad range of relevant tasks to facilitate the team's research capabilities. You will work to support the Centre’s senior academic staff and be highly integrated with the Operations team to ensure smooth, swift, and accurate completion of general administrative and complex operational tasks. Part-time may be considered for this role.

Key responsibilities for both roles:

  • Complete administrative and operational tasks across the Matilda Centre and with Faculty and University staff to support the research teams
  • Undertake administrative tasks such as conducting diary management, travel bookings, contract management, and other general administrative activities
  • Undertake more complex administrative research support tasks such as contract process management, staff recruitment, project budget support
  • Support the Operations team by providing administrative and operational support to the Centre, including daily administrative tasks in both the front office and backend of the Matilda Centre
  • Work to the University’s policies, procedures, and regulations whilst completing ad-hoc tasks as requested by your line manager
  • Complete any ad-hoc tasks, activities, or objectives as requested by your line manager.

About you

  • Experience or understanding of a tertiary education or research setting, or similarly complex and fast-paced work environment, with previous experience in large-scale enterprise systems (highly desirable), or experience with similar systems
  • Proven experience with the Microsoft Office Suite, including Word and Excel, and other relevant administrative systems/software
  • Passionate, innovative, and initiative-driven to improve the administrative and operational experience of relevant internal stakeholders
  • Strong levels of tenacity, resilience, patience, and problem-solving skills, with the ability to work collegially with academic and professional staff across the Centre
  • Friendly and approachable personality with the ability to learn and provide the highest service levels in a research administration space.
  • An active interest in mental health and substance use research.
