The Opportunity:

We are looking for a proactive and experienced Team Administrator to join our Economic & Social Advisory team. The role is based in Melbourne but will play a key role in providing high quality secretarial, word processing and administrative support to our national team.

You will:

  • Support Directors and Associate Directors in managing and monitoring their emails, diary, meetings and catering arrangements
  • Create expense reports on behalf of Directors including reconciliation and entry of expense items and receipts
  • Organise travel arrangements including flight and hotel bookings, car hire and other transportation arrangements
  • Coordinate team meetings, marketing activities, events and resources
  • Provide project-focussed administrative support to the wider team including file and document management, report and document preparation, word processing, data entry support and excel formatting
  • Provide research support through coordinating interviews and programming simple online surveys
  • Coordinate tender responses and document production generally, in a fast and accurate manner
  • Coordinate the preparation of project sheets and project lists as required
  • Provide financial and technical support on the Urbis Practice Management system, including the set-up of projects, budgets, monthly invoicing and WIP management

About You:

  • A proactive individual with a passion for learning
  • Strong customer service orientation and a problem solving, ‘can do' attitude
  • Able to multi-task and work to tight deadlines
  • Strong written and verbal communication skills
  • Prior experience in administration, with experience supporting senior staff an advantage
  • Intermediate to advanced level of experience using the Microsoft Office suite of products (Outlook, Word, Excel and PowerPoint)
