ABOUT THE VICTORIAN HEALTHCARE ASSOCIATION

The Victorian Healthcare Association (VHA) is the peak body supporting Victoria’s public health services to deliver high-quality care. Established in 1938, the VHA represents Victoria’s diverse public healthcare sector, including public hospitals, aged care and community health services. ABOUT THE ROLE

Reporting to the General Manager – Corporate Services, the Bookkeeper is responsible for maintaining the accuracy and integrity of the VHA’s financial records and ensuring timely and effective financial reporting. This role supports the organisation’s operations by handling a range of bookkeeping duties, including month-end reconciliations, accounts payable and receivable, budget assistance, and compliance with governance frameworks.This is a critical position that supports the financial health of the VHA, enabling it to operate efficiently and meet its legislative requirements.

KEY RESPONSIBILITIES:

  • Maintain accounting systems and reconcile general ledger accounts, including bank, credit card, and payroll reconciliations.
  • Process accruals, prepayments, internal transfers, and journals for month-end account closures.
  • Manage member renewals, event billing, and other invoicing processes.
  • Oversee accounts receivable, including the collection of outstanding debts within credit terms.
  • Process accounts payable, ensuring proper approvals, coding, and cost-centre allocation, and prepare payment batches for bank authorisation.
  • Assist with monthly management reporting, including Profit and Loss Statements and Balance Sheets.
  • Support the annual audit process, preparing schedules and addressing audit queries.
  • Monitor cash flow to ensure sufficient operating funds are available.
  • Maintain accurate asset registers and monthly reconciliations.
  • Assist with budgeting, forecasting, and payroll processing as required.
  • Respond to internal and external financial inquiries in a timely manner.
  • Support the Corporate Services team as needed and act as a back-up during staff absences

SELECTION CRITERIA

Essential:

  • Bookkeeping qualification or at least five years of bookkeeping experience.
  • Strong understanding of financial processes, reporting, and governance.
  • Proficiency in accounting software; experience with Reckon Accounts is desirable but not essential.
  • Experience in managing multiple priorities with flexibility and resilience.
  • Exceptional analytical and problem-solving skills.
  • Outstanding written and verbal communication skills.

Desirable:

  • Experience in the not-for-profit or membership association sector.
